About The Position

The Department of Physics within the Eberly College of Science, is seeking a highly organized and student centered individual to serve as the Undergraduate Academic Program Coordinator. This position plays a critical role in supporting the academic and administrative functions of the undergraduate Physics program, including academic advising, curriculum coordination, and student record management. The coordinator will work closely with faculty, students, and staff to ensure the efficient operation and continuous improvement of the program.

Requirements

  • General Equivalency Diploma (GED) or High School (HS)
  • 2+ years of relevant experience; or an equivalent combination of education and experience accepted

Responsibilities

  • Serve as a liaison between Physics undergraduate students, faculty, and various university offices (e.g., Admissions, Registrar, Bursar, Student Affairs, etc.) to ensure smooth operations.
  • Coordinate undergraduate course offerings each semester, including course building, section creation, enrollment capacities, cross-list courses, and room assignments in collaboration with faculty and the department scheduler.
  • Manage course scheduling in LionPATH and ensure accuracy of course listings, prerequisites, and enrollment caps. Monitor course enrollments and assist with waitlist management and enrollment adjustments.
  • Oversee scheduling and logistics for midterm and final examinations, including coordination of conflict and makeup exams.
  • Utilize CollegeNET to reserve classrooms, schedule events, coordinate meetings, set up review sessions and troubleshoot other scheduling issues.
  • Conduct degree audits, process audit substitutions, exceptions, and petitions in collaboration with faculty and college offices.
  • Assign and manage student and instructor course evaluations each term (SEEQ), ensuring compliance with university and departmental procedures.
  • Support and participate in undergraduate program events such as orientations, research symposia, outreach activities including research experience for undergraduates.
  • Prepare and distribute communications regarding deadlines, program requirements, and departmental opportunities.
