About The Position

The Academic Assistant II supports the Department of Astronomy’s academic programs and operations by coordinating course and enrollment processes, maintaining academic records, and assisting students and faculty with routine academic procedures and deadlines.

Requirements

  • High school diploma or equivalent and three years of relevant experience.

Nice To Haves

  • Experience in a higher education academic office.
  • Knowledge of UF systems (PeopleSoft/Student Admin, GIMS) and CLAS academic procedures.
  • Strong written/oral communication and customer service skills.
  • Ability to interpret and apply Registrar, Graduate School, and International Center requirements.
  • Demonstrated proficiency with standard office software (e.g., word processing, spreadsheets, email/calendar tools) and the ability to learn new computer systems.

Responsibilities

  • Coordinates academic term activities and course logistics, including scheduling support, classroom/exam requests, and communications tied to academic deadlines.
  • Supports course registration processes, including monitoring enrollment, managing permissions/waitlists, and addressing student registration requests in coordination with program leadership.
  • Assists with grade collection and on-time submission for courses and other academic activities aligned with university deadlines.
  • Maintains and updates student and course records in UF systems (e.g., PeopleSoft/Student Admin, GIMS), and prepares routine reports/tracking as needed.
  • Supports undergraduate and graduate student processes (as applicable), including maintaining student lists, tracking progress/milestones, and coordinating routine forms and submissions.
  • Assists with graduate admissions support tasks, including tracking application materials, preparing materials for review, and communicating with applicants as directed.
  • Provides front-line customer service and administrative support for the department (responding to inquiries, routing requests, supporting calendars/meetings, and assisting program leadership as needed).
  • Supports department academic events and committee activities, and provides backup coverage for other administrative functions as assigned
