About The Position

This position is located in the School of Teaching and Learning, an academic unit in the College of Education. The academic assistant serves as the face of the unit's academic office and acts as a liaison between students, faculty, and other university units. The employee's main duties are academic in nature.

Requirements

  • High school diploma or equivalent and three years of relevant experience.

Responsibilities

  • Graduate Program Admissions : Handle all inquiries and initial communications with potential PhD students, passing along program-related questions to program coordinators; problem solving application issues and working closely with the Graduate Coordinator to refine admissions processes; following up with applicants on missing materials; packaging completed applications for review by faculty teams; completing all department-level processes for admission and issuing admission and denial letters; coordinating processes for admission of international student with UFIC; coordinating with UF admissions to ensure transcripts are uploaded to system after admission. Creation of admissions-related reports for the Director, Graduate Coordinator, and college as needed.
  • Graduate Student Academic Administration & Support: Primary contact for administration of all masters-level student processes after admission and through graduation; confirming initial student codes are correct; working closely with all masters level program coordinators to support their program administrative processes; collecting approved programs of study; monitoring degree audits and requesting approval from faculty for course substitutions; providing registration information to program coordinators; monitoring program progress; graduation checks. Collaboration and backup support for staff handling support for other STL degrees (PhD/EdD, certificates). Collaboration with EduGator Central admissions person when needed; coordinating processes for admission of international student with UFIC.
  • Registration Support for Elementary Program & Undergraduate Research: Providing registration information and permissions for departmentally controlled courses; supporting program coordinators in their dissemination of registration information to students. Coordinating with EduGator Central to correct registration for students in campus-based vs. Distance Learners.
  • Course Scheduling & Evaluation Support: Assisting with schedule building, course enrollment corrections, and classroom assignments; Back up support for STL course evaluations.
