The Department of Physics is seeking an Academic Assistant II to provide administrative support for the department’s graduate program. This position works closely with the Department Chair and Graduate Coordinator and supports multiple graduate committees, with responsibility for coordinating graduate program operations including admissions and recruitment, curriculum and student services, graduate appointments and records, registration and degree milestone processing, and graduate program communications. Admissions & Recruitment Coordinate communications with prospective domestic and international students and support the online application process. Process applications and compile applicant files; track required materials for committee review (e.g., test scores, transcripts, recommendations, fee status). Prepare admissions and offer correspondence and coordinate international admissions steps with the UF International Center. Support recruiting and orientation activities, including prospective student visits and related event logistics. Appointments & Funding Administration Prepare and process graduate student appointments and related documentation each semester (e.g., appointment letters, tuition waivers, payroll information) and maintain an assistantship roster. Process, track, and administer graduate fellowships; maintain graduate student budget and appointment records for department leadership. Complete required onboarding/payroll documentation for new graduate students (including international student steps as applicable) and ensure deadlines are met. Process summer appointments via the work break file process. Academic Records Management Register graduate students and create research course sections as needed; maintain and update graduate student and faculty advisor data in GIMS. Prepare teaching assignment information each semester in collaboration with department administration. Coordinate degree milestone processes and required Graduate School forms (e.g., admission to candidacy, thesis/final examinations) and maintain supporting records. Monitor academic progress and maintain student records; support tracking/reporting (including alumni tracking). Graduate Student Support Assist and counsel graduate students on program procedures and UF services; help resolve issues in person and via email. Serve as a liaison for students requiring support from the Graduate School or other UF administrative offices. Support graduate committees and curriculum planning, including preparation of correspondence related to administrative decisions and policy-making. Graduate Program Operations Support departmental web and publicity functions by updating websites/directories and sharing photos/news of departmental events; help maintain and update graduate program recruiting materials and webpages. Provide backup support for other student services functions as needed.
