About The Position

The Office of the Registrar is seeking an Academic Advisement Systems Analyst to support and enhance its academic advising systems. This role is responsible for maintaining and improving degree audit and academic planning tools, ensuring accurate and efficient advising processes for students, faculty, and staff.

Requirements

  • Ability to communicate with constituents in a professional and respectful manner
  • Understanding of higher education academic structures, including majors, minors, options, and complex general education requirements, as well as federal, state, and institutional (e.g., CSU, SJSU, Title 5) policies and procedures impacting degree requirements
  • Ability to evaluate complex academic rules, integrate and interpret data, identify issues, and develop effective solutions using sound reasoning and strategic thinking
  • Proven ability to ensure precision in system configuration, degree audit logic, and data validation in a detail-oriented environment
  • Advanced understanding of relational databases, ERP systems (preferably PeopleSoft Campus Solutions Academic Advisement), and proficiency in word processing, spreadsheets, and related software applications
  • Ability to perform detailed coding, testing, troubleshooting, and documentation to maintain and enhance advising tools; ensure accuracy of system configurations through data analysis
  • Capacity to adjust to evolving academic policies, technological changes, and institutional priorities; able to independently plan, organize, and coordinate work in a fast-paced environment with minimal supervision
  • Strong interpersonal and communication skills to work effectively with faculty, staff, and peers across departments, fostering cooperation to achieve shared goals
  • Ability to make independent decisions, exercise sound judgment, and apply creativity and innovation to develop new approaches for addressing complex issues
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines while maintaining high-quality deliverables
  • A bachelor's degree and/or equivalent training
  • Four years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

Nice To Haves

  • An earned bachelor’s degree
  • Minimum of two (2) years of experience working in higher education
  • Experience interpreting degree requirements as a graduation evaluator, academic advisor, curriculum specialist, or other related professional positions
  • Experience with PeopleSoft Campus Solutions modules such as Student Records, Curriculum Management, and the Academic Advising module; other comparable Student Information System software will be considered
  • Experience with PeopleSoft Query, other SIS Query, or SQL
  • Experience in developing and maintaining documentation for a program, process, or system
  • Experience working with Title V and California State University curriculum policies, including General Education

Responsibilities

  • Analyze academic policies and translate them into system configurations
  • Maintain and update degree audit and advising systems (PeopleSoft)
  • Test system updates and ensure accuracy of advising tools
  • Troubleshoot issues and provide functional support
  • Collaborate with campus partners, IT, and academic departments
  • Create documentation and provide training to users
