Remote ABA Billing Specialist

Colorful Minds ABA is a growing pediatric ABA therapy provider committed to delivering high-quality, ethical, and family-centered services across clinic, home, and community settings. We are seeking a detail-oriented and experienced ABA Billing Specialist with strong knowledge of Illinois Medicaid, commercial insurance payors, Rethink Behavioral Health, and Tebra. The ABA Billing Specialist is responsible for managing the full-cycle billing process, ensuring accurate claim submission, payment posting, denial management, and compliance with Medicaid and commercial payor requirements. This role works closely with Operations, Credentialing, and Clinical teams to maintain revenue integrity and reduce A/R.
Requirements
- Minimum 2+ years of ABA billing experience (required)
- Strong knowledge of Illinois Medicaid and commercial insurance
- Hands-on experience with: Rethink Behavioral Health Tebra
- Knowledge of CPT codes specific to ABA services
- Experience working with authorizations and unit tracking
- Strong Excel/Google Sheets skills
- High attention to detail and ability to work independently
Nice To Haves
- Experience in pediatric behavioral health
- Familiarity with EVV requirements
- Understanding of credentialing workflows
- Experience working in a multi-site ABA organization
Responsibilities
- Submit and track electronic claims via Rethink Behavioral Health
- Submit commercial claims through Tebra
- Process Illinois Medicaid claims (including MCOs)
- Verify authorizations, units, and service codes (97151, 97153, 97155, 97156, etc.)
- Ensure claims align with treatment authorizations and session notes
- Monitor aging reports and maintain A/R within company benchmarks
- Investigate and resolve denials, rejections, and underpayments
- Submit corrected claims and appeals as needed
- Follow up with payors regarding outstanding balances
- Post EFT, ERA, and manual payments accurately
- Reconcile payments with billed units and authorizations
- Coordinate with leadership regarding revenue trends
- Ensure billing compliance with Medicaid and commercial guidelines
- Work closely with clinical team to resolve documentation discrepancies
- Identify trends that may impact reimbursement
- Maintain HIPAA compliance and confidentiality standards
