About The Position

Summary: Supervise word processors and proofreaders. Provide exceptional customer service to clients. Accurately update Document Tracking database and ensure seamless workflow between shifts. Coach staff to achieve high performance and quality standards. Participate in bimonthly supervisory meetings. Attend ongoing training to maintain and supplement advanced technical and leadership skills. Schedule and allocate staff based on workload demands. Shift: Monday - Friday 4:00 p.m. - 12:00 a.m. Essential Duties and Responsibilities: Deliver exceptional customer service to clients. Respond to phone and Helpdesk inquiries, supporting legal and non‑legal staff as needed. Supervise word processing and proofreading teams, ensuring accuracy and compliance with department standards. Provide expert support for all department applications, including graphic production tools. Review document requests and provide accurate time estimates. Coordinate workflow through the HighGear tracking system, ensuring that all deadlines are met. Edit, format, and prepare legal documents and graphic presentations. Run compares of differently formatted documents and PDFs. Convert documents to SEC‑compliant PDF/A format. Attend bimonthly supervisory meetings. Identify training needs and ensure staff members maintain proficiency across all applications. Prepare, conduct, and communicate staff performance evaluations. Participate in ongoing technical training. Provide shift coverage flexibility, including rotating holidays. Maintain strict confidentiality regarding client and staff matters. Knowledge, Skills, and Abilities Required: Advanced expertise in Microsoft 365 applications (Word, PowerPoint, Excel, Outlook) and in Adobe Creative tools, Illustrator and Photoshop. Collaborative team member who works effectively with supervisors, coordinators, word processing staff, and cross‑departmental partners. Resourceful problem‑solver with an ability to navigate complex or time‑sensitive issues. Comprehensive knowledge of computer equipment and Document Production software. Strong organizational skills with an ability to prioritize multiple tasks and meet strict deadlines. Skilled written communicator, capable of preparing clear memoranda and professional correspondence. Diplomatic and tactful in handling sensitive personnel matters and workplace issues. Excellent interpersonal skills for communicating instructions and information with clarity, courtesy, and professionalism across legal and non‑legal teams. Able to perform under pressure, maintaining high accuracy and focus during busy periods and other essential duties. Education and Experience: Three to five years supervisory experience in a legal word processing environment. The expected base salary for this role ranges from $115,000 - $120,000. The base salary offer is based on a variety of factors, which includes, but is not limited to, qualifications, education and experience.
