As part of the People & Workplace team, Justworks is seeking a Workplace Specialist who has the passion and the drive to ensure that our physical space reflects the success and culture of Justworks and enables our people to execute as an organization. You will manage the day-to-day operations in our Tampa office, and support the People & Workplace initiatives in a hybrid working environment. Requirements

  • Minimum of 3 years of experience in Facilities Management; preferably in a fast-growing start-up environment
  • Minimum of 3 years of budget management experience, financial forecasting, and great vendor negotiation skills
  • Excellent written, verbal and communication skills
  • Passion for workplace experience, facilities management, office operations, and best-in-class workplace culture
  • Willingness and ability to adjust working hours to meet the needs of the business and team

Nice To Haves

  • Prior human resources experience, a plus

Responsibilities

  • Cover the front desk
  • Liaison between our NYC HQ and Tampa Office as it relates to workplace-related items in coordination with our Workplace Manager.
  • Prepare, support, and communicate team initiatives like group lunches, All Hands meetings, team events, and employee corporate events.
  • Provide internal communication support to the Workplace team.
  • Monitor Workplace Jira ticketing systems and ensure all tickets are answered and resolved to our standards.
  • Oversee vendor management for the Tampa workplace.
  • Ensure all required workplace compliance notices and related documents are in place.
  • Stay connected to the People Team to align on issues, culture, policies, and practices.
  • Participate in or lead small to medium-scale Workplace projects and initiatives.
  • Partner and develop strong relationships with all key business partners e.g. People Operations, People Experience, Business partners, IT, and Legal.
  • Development and implementation of operational policies/procedures that are essential to the success of the office.
  • Support the new hire onboarding process, by providing access to the office space, validating I-9 documentation, and ensuring compliance with federal and state forms.
  • Be the first point of contact for employee relations issues and escalations in Tampa. Working closely with the People Business Partner team.
  • Support IT-related processes such as onboarding, maintenance, and upkeep of IT Vending Machines.
  • Support the network team with any network-related issues such as troubleshooting on-site firewall, wi-fi and connectivity issues.
