About The Position

The Real Estate and Workplace Services team at OpenAI is pivotal in crafting and maintaining the physical environments that fuel our innovation and growth. This team ensures our facilities align with our dynamic business objectives. We manage daily operations, optimize workspace designs, and manage leasing and planning for our real estate portfolio. With a strong focus on sustainability and efficiency, the team works closely with internal stakeholders and external partners to create spaces that not only reflect our brand's identity and culture but also enhance employee productivity and well-being. Joining this team means being at the heart of shaping the environments that inspire our technological advancements and support our mission. We are seeing an experienced and dynamic Workplace Operations Manager to join our scaling team and establish our first, and new office in Washington DC. As the Workplace Manager you will play a crucial role in establishing and maintaining operational excellence. You will be responsible for building out workplace operations programs; collaborating with our global team; representing partner teams in NYC (security, IT & HR) and building and managing relationships with our key external workplace partners and vendors.

Requirements

  • Proven experience as an Office Manager or similar role, preferably in a fast-paced and dynamic environment.
  • Excellent communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders.
  • Strong organisational and multitasking skills, with the ability to prioritise effectively.
  • Proficiency in Microsoft Office and Google Workplace.
  • Experience with ticketing systems, visitor management and space planning software similar workplace tools.
  • Work well with data, ticketing systems, and using information to back up policies.
  • Have a passion for building something special from nothing.

Responsibilities

  • Build the foundations for the Washington DC office both in the current temporary state and long term state.
  • Build and maintain relationships with our landlord and other key stakeholders.
  • Be an ambassador for culture in Washington DC and stay connected to HQ and other offices.
  • Establish and lead initiatives for the office which span across support teams (HR/IT/Security, etc…) and connect to the main business driver in the DC office.
  • Work closely with the global workplace team to align office operations with company-wide standards and practices.
  • Coordinate office maintenance, supplies and equipment to support day to day operations.
  • Plan and execute internal events and activities to foster a positive and collaborative workplace culture and exceptional employee experience.
  • Support our comms and events team with external events.
  • Manage a regional budget for the DC office.
