As the Workplace Frontend Coordinator, you'll be the owner for all workplace experience throughout the day in our HQ locations. You'll own the day-to-day of how the office looks, be the go to for the flow of each HQ space, and the experience of all users and guests in the space. You'll work closely with the facilities/backend team to resolve open tickets quickly. This role is ideal for someone who's highly organized, thrives in a fast-paced environment where no day is the same, and loves creating exceptional experiences.

  • Coordinate the on-site food vendor and deal with any issues that arise; ensure kitchens are working, restocked and efficiently organized
  • Ensure a seamless and safe visitor experience from arrival to departure
  • Help execute the look and feel of the offices and garages including plants, furniture, decorations, and organization for flow
  • Create thoughtful, memorable moments for people on-site- guests, supporting internal events, and partnering with the food vendor on special menus and surprise-and-delight experiences that bring energy to the workplace; assist in executing larger events to meet its goals
  • Help execute moves and communicate plans with all relevant parties
  • Work closely with Workplace Backend and IT to ensure smooth, day-to-day operations
  • Manage external vendors to ensure high-quality service delivery, holding them accountable while optimizing costs and performance
  • Build out and update documentation and SOPs
  • Kick-off workplace-related projects, handle requests, and manage ticketing to ensure timely resolution and continuous improvement
  • 3+ years in event and facility management
  • Ability to physically address maintenance tasks, organize spaces, and ensure operational efficiency
  • Strong focus on cleanliness, organization, and operational precision-even down to the smallest details like dust and misplaced cables
  • Ability to be a self-starter who takes ownership of tasks, follows through to completion, and proactively seeks help and feedback to improve outcomes
  • Demonstrated ability to manage competing priorities and work effectively under pressure in a fast-moving environment
  • Proven track record of managing third-party vendors and ensuring accountability, cost-efficiency, and service quality
  • Experience working across teams (engineering, IT, operations) and managing complex problems with multiple stakeholders. Ability to solve issues and communicate effectively.
  • Experience creating scalable processes and automating workflows to improve efficiency and consistency
  • Ability to creatively find sustainable and efficient ways to save money, identify cheaper alternatives and out of the box thinking to all tasks
