We are seeking a Workplace Experience & Operations Coordinator who brings operational reliability, strong customer service instincts, and attention to detail. This role ensures our St. Petersburg office runs smoothly while partnering with cross-functional teams to support an engaging, well-run workplace. This onsite position blends facilities coordination with employee experience support. Acting as a steward of the workplace, the coordinator maintains a professional, welcoming environment for employees and visitors, including frequent interaction with senior leadership. The role reports to the Sr. Manager, Administrative Services and works closely with the Director of Facilities Operations to support regional standards and operational consistency. Requirements

  • 2–4 years of experience in workplace operations, office coordination, facilities support, or similar environments
  • Strong customer service orientation and team-first mindset
  • Professional presence and comfort interacting with senior leadership
  • Confidence supporting meetings and executive-level onsite activities
  • Comfortable troubleshooting basic AV and meeting room technology
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a hands-on, in-office environment
  • Demonstrated discretion in handling sensitive or confidential information
  • Proficiency in Microsoft Office and workplace collaboration tools
  • Move throughout the office frequently
  • Stand or walk for extended periods as needed
  • Lift and move packages or supplies up to 25–30 pounds
  • Assist with light furniture adjustments and meeting/event setup
  • Occasionally support early morning or after-hours activities

Responsibilities

  • Serve as a primary point of contact for workplace-related requests and day-to-day employee support
  • Support visiting executives and senior leaders to ensure a professional and seamless onsite experience
  • Assist in coordinating onsite meetings, leadership sessions, and local office initiatives
  • Ensure common areas, collaboration spaces, and meeting rooms consistently reflect workplace standards
  • Provide basic in-room technology and AV support for meetings and presentations; troubleshoot common issues and escalate when necessary
  • Conduct routine workplace walkthroughs to maintain cleanliness, safety, and readiness
  • Identify opportunities to enhance the onsite employee experience
  • Submit and track maintenance work orders (HVAC, lighting, plumbing, furniture, etc.) through completion
  • Coordinate with building management and external service vendors
  • Support minor office moves, seating updates, and space adjustments
  • Monitor and replenish office, pantry, and supply inventory
  • Maintain workplace documentation and asset tracking
  • Partner closely with the Facilities Administrator / Front Desk to ensure seamless service continuity and provide backup coverage as needed
  • Support workplace health & safety initiatives, audits, and compliance activities in coordination with regional Facilities leadership
  • Maintain required documentation and reporting standards
  • Promote responsible workplace practices, including waste reduction and thoughtful supply management
  • Identify practical opportunities to improve operational efficiency and environmental impact
  • Support incoming and outgoing mail and package handling processes
  • Coordinate secure handling of sensitive financial documents in partnership with Finance
  • Assist with supply ordering, expense tracking, and operational reporting
  • Maintain organized standard operating procedures and workplace documentation
  • Collaborate with peers in other offices to support regional initiatives and service consistency
