About The Position

This is a short-term, 6 month contract role. The Workplace Coordinator plays a key role as part of the Workplace team, taking ownership and responsibility for the quality and completion of all daily office functions and services. Assisting with the day to day internal office activities, hospitality, events, space planning, shipping & receiving and front desk services. They will partner closely with the broader regional and global Real Estate & Workplace team to foster an efficient, productive team environment that is supportive of continuous improvement of the department and its operational efficiencies. This position is office-based and full-time (Monday-Friday w/ occasional weekend coverage for events or office maintenance). Reporting to the Manager, Real Estate & Workplace. This role is based in the Seattle, Washington office.

Requirements

  • 2+ years of experience in retail, back of house/inventory, office administration, workplace experience, or facilities management.
  • 2+ years of experience in customer service, hospitality, or event planning.
  • Strong attention to detail and organization skills.
  • Strong written and verbal communication skills.
  • Ability to lift 50lbs.
  • Ability to multi-task and prioritize in a high change, flexible environment.

  • Familiarity with JIRA, Confluence, Zoom, Slack, Canva, GSuite.
  • Experience using both Windows and Mac OS, iOS - if you're a gamer, even better!

Responsibilities

  • Provide exceptional customer service to all employees, visitors, and vendors.
  • Maintain a professional and welcoming presence at all times.
  • Oversee front desk services including but not limited to mail sorting and distribution, voicemail management, employee service request tickets, and answering general questions.
  • Assist with coordinating meetings through conference room booking, catering support, and space/layout requests.
  • Assist with space planning (MAC) for the office and monitoring utilization reporting.
  • Partner closely with the Workplace Managers to facilitate timely processing of all invoices, purchase requisitions and tracking for accurate budget reporting and management.
  • Coordinate safety and security programs, working across the global team to ensure consistency with other locations.
  • Act as safety captain in the event of an emergency and oversee building evacuations, escalation to first responders, etc.
  • Order and maintain inventory of office supplies, shipping supplies, snacks, and beverages.
  • Assist with daily shipping & receiving, both international and domestic.
  • Other projects or duties as assigned.
