The Workforce Management Specialist is responsible for the hands-on coordination of site personnel and the operational support of project logistics. This role ensures that manpower is effectively deployed, site support activities are executed smoothly, and all necessary administrative and logistical arrangements are in place to support field operations. The role requires close collaboration with site supervisors, group leaders, and internal departments to maintain productivity, compliance, and workforce readiness.

  • Assign and mobilize field personnel to project sites in alignment with approved schedules and plans.
  • Maintain and update workforce planning systems (e.g., WSP) with current assignments, availability, and certifications.
  • Track work hours, shifts, standby coverage, and site attendance.
  • Ensure personnel have valid certifications and that documentation is compliant with internal and external requirements.
  • Support supervisors with administrative tasks related to personnel coordination and shift scheduling.
  • Organize day-to-day logistics including accommodation, travel, and transportation for site personnel.
  • Coordinate delivery and readiness of tools, materials, and equipment for ongoing site activities.
  • Distribute and track workwear and PPE inventory, ensuring timely replacement and compliance.
  • Assist with site-level timekeeping, reporting, and administrative follow-up.
  • Serve as a local support resource during project execution to address immediate manpower or logistical needs.
  • Compliance to QHSE (Quality, Health, Safety, and Environment) standards, internal policies, and external regulations.
  • Record incidents, deviations, and improvement actions in alignment with the Management System.
  • Collaborate with internal stakeholders such as P&C, Finance, Spare Parts and Technical Services for smooth personnel-related operations.
  • Maintain accurate records for workforce files, contracts, work permits, and relevant project documentation.
  • Communicate effectively with external service providers to ensure seamless support for mobility and logistics.
  • Association degree in Business Administration, Logistics, or related field.
  • 5+ years in manpower planning, workforce coordination, or field administration within industrial, construction, or manufacturing environments.
  • Knowledge of manpower planning tools (e.g., WSP) and Microsoft Office suite.
  • Familiarity with QHSE standards and site work environments in industrial or construction sectors.
  • Experience in working in a matrix organization.
  • Proficient in planning software (e.g., WSP) and Microsoft Office tools; basic knowledge of ERP (preferably IFS) is a plus.
  • Fluent in the local language and English, another language is a plus.
  • Strong awareness of QHSE (Quality, Health, Safety, and Environment) management system and commitment to safe work practices.
  • Reliable, proactive, and highly organized.
  • Strong communicator with a service-oriented mindset.
  • Comfortable working under time constraints and shifting priorities.
  • Attentive to detail with a strong sense of accountability.
  • Able to work both independently and collaboratively in a dynamic field environment.
  • Willingness to travel to various project sites as required.
