The Workforce Development Coordinator at Oakton College serves as the primary contact for the Workforce Development department, managing external client space and resource reservations. This role involves providing administrative support for various programs, coordinating space rentals, and ensuring effective communication with clients and internal departments.

  • Coordinate space reservations for external clients and guide them through the booking process.
  • Manage space rentals by coordinating with internal departments such as Facilities and Food Services.
  • Prepare and manage contracts and agreements for space rentals, maintaining accurate records.
  • Monitor and track all space rental requests, ensuring timely fulfillment and resolving issues.
  • Manage rental invoices and payment transactions for accurate budget reconciliation.
  • Answer inquiries on the main workforce development phone line and provide information to visitors.
  • Prepare correspondence, including letters of agreement and reports.
  • Organize and maintain office files and confidential reports.
  • Assist with Continuing Education and Workforce Development courses by arranging AV equipment and distributing class lists.
  • Support Workforce Solutions programs by preparing materials and coordinating communications.
  • Bachelor's degree or equivalent combination of education, training, and experience.
  • Two years of general administrative and office support experience.
  • Experience in event planning and coordination preferred.
  • Advanced proficiency in MS PowerPoint, Word, Excel, Google Suite, and the Internet.
  • Excellent grammatical, oral, proofreading, and writing skills.
  • Strong organizational, communication, and follow-up skills with attention to detail.
  • Ability to work independently and handle multiple priorities.
  • Ability to learn and use scheduling software, familiarity with Ad Astra preferred.
  • Ability to travel to and between multiple site and community locations.
  • Ability to interact professionally with diverse individuals.
  • Experience with space scheduling software systems.
  • Familiarity with WIOA (Workforce Innovation and Opportunity Act) program communications.
