About The Position

The Workforce & Leadership Assistant supports the Workforce & Business Development department and affiliated leadership programs by providing administrative, logistical, and operational assistance. This position assists with daily program coordination, communications, event support, documentation, and financial tracking related to affiliate initiatives, including Leadership Lackawanna, Skills in Scranton, and Scranton Plan. This role works collaboratively with internal staff, program participants, sponsors, and community partners to ensure smooth execution of workforce and leadership initiatives.

  • Ability to maintain confidentiality and handle sensitive information.

  • Ability to lift up to 25 pounds (e.g., event materials or supply boxes).
  • High school diploma or equivalent required; associate degree or some college coursework preferred.
  • Must be eligible to obtain Pennsylvania clearances required to work with minors (Child Abuse History Clearance, PA State Police Criminal Record Check, and FBI Fingerprinting).
  • Valid driver's license and reliable transportation required.

Nice To Haves

  • Prior administrative or customer service experience preferred.
  • Experience with event coordination, nonprofit programming, or community initiatives is a plus.

Responsibilities

  • Provide administrative support for affiliate programs, including scheduling, correspondence, recordkeeping, and database management.
  • Assist with event planning and execution, including registration, materials preparation, logistics coordination, and on-site support.
  • Maintain accurate participant, sponsor, and stakeholder contact lists.
  • Support tracking and documentation of sponsorships, contributions, grants, and tax credit program related materials.
  • Assist with invoicing, collections, and coordination with finance staff as needed.
  • Prepare reports, spreadsheets, and program documentation.
  • Coordinate marketing communications and assist with promotional efforts for programs and events.
  • Respond professionally to phone and email inquiries.
  • Attend Chamber and affiliate events, including occasional evenings or weekends.
  • Perform other duties as assigned by management.
