About The Position

The Workflow Supervisor collaborates with the Director of Cardiopulmonary and Vascular Services to ensure optimal communication and operational efficiency across Interventional Radiology (IR), Medical Imaging, the Pain Management Clinic, and the Vein Health Program. This role supports the implementation of departmental initiatives and organizational goals aligned with the Organization’s mission.

Requirements

  • Three (3) to five (5) years of healthcare experience, preferred.
  • Strong interpersonal and communication skills.
  • Ability to multi-task in a high-volume environment.
  • Proficiency in Microsoft Office applications.

Responsibilities

  • Coordinates daily workflow and patient throughput in collaboration with physicians, clinical staff, and referring offices.
  • Ensures staff adherence to established procedures and supports a safe, efficient, and patient-centered care environment.
  • Participates in administrative tasks such as payroll processing and policy compliance.
  • Attends Interventional Radiology and Medical Imaging Team Leader meetings.
  • Manages Health History & Physical (H&P) documentation for IR, Pain Management, and Vein Health patients; routes to IR MD/PA for review and signature.
  • Submits patient charts to IR MD/PA for protocol and coordinates with imaging modalities to ensure accurate scheduling.
  • Schedules procedures with Anesthesia when needed.
  • Serves as the primary liaison between patients, IR providers, and Pain/Vein service teams.
  • Collaborates with IR physicians and Anesthesia to coordinate Pain Management and Vein Health procedures.
  • Facilitates patient workflow and procedural throughput in IR, Pain Management, and Vein Health.
  • Coordinates scheduling for IR patients through direct collaboration with IR MD/PA, IR staff, and Central Scheduling.
  • Tracks and schedules follow-up appointments and authorizations for IR patients.
  • Coordinates overflow scheduling from JFX to MMH with Authorization team.
  • Partners with Business Development to promote IR services to ECHN offices.
  • Orders and maintains supplies as needed.
  • Oversees distribution and monitoring of radiation badges for Medical Imaging staff.
  • Processes and submits invoices to Accounts Payable.
