About The Position

We are seeking a Work Scheduling Assistant to support the work scheduling process within our area office. This role requires a high school diploma and strong organizational and coordination skills. The Work Scheduling Assistant is responsible for coordinating and scheduling all engineered and non‑engineered jobs for the distribution line and service workforce. This position plays a key role in ensuring that personnel and equipment resources are effectively aligned so customer and system jobs are planned, scheduled, and completed accurately, safely, and efficiently. Success in this role requires strong communication with internal teams and customers, attention to detail, and proficiency with digital workforce management tools. This role pays $25-$30/hr and is 100% on-site.

Requirements

  • Associate’s degree in engineering technology, or a high school diploma combined with the specified experience.
  • Progression through a work scheduling assistant job family or a minimum of 2 years of experience in distribution operations with a good working knowledge of distribution work processes and procedures.
  • At least 9 months of clerical experience, including data entry and document handling.
  • Strong analytical skills with the ability to interpret work requests, prerequisites, and resource constraints to build effective schedules.
  • Strong organizational skills with the ability to manage multiple tasks, requests, and deadlines simultaneously.
  • Ability to effectively prioritize work in a fast-paced environment with changing demands and conditions.
  • Proficiency in operating computer systems in a Windows environment.
  • Ability to learn and use new and complex digital systems and applications related to work management and scheduling.
  • Customer service skills, including the ability to communicate clearly and professionally with customers and internal stakeholders.
  • Ability to provide basic technical consultation on service design requirements, city ordinances, basic electrical code requirements, and relevant company policies.

Nice To Haves

  • Proficiency with Microsoft Office applications for communication, documentation, and basic data analysis.
  • Experience working with Windows-based digital workforce management systems.
  • Working knowledge of DWMS, SPECTRUM, and MACSS/OPS is preferred.
  • Familiarity with digital workforce management systems and their use in scheduling and resource allocation.
  • Experience coordinating with multiple stakeholder groups such as engineers, supervisors, contractors, inspectors, and metering teams.
  • Demonstrated ability to negotiate schedule changes and deadlines while maintaining strong customer relationships.
  • Comfort working with basic electrical and distribution terminology related to load, energy requirements, and service design.

Responsibilities

  • Support the work scheduling process in the area office by coordinating all engineered and non-engineered jobs for the distribution line and service workforce.
  • Combine available personnel and equipment resources to create efficient schedules that ensure jobs are completed accurately, timely, and cost-effectively.
  • Use work management systems and related applications to enter, maintain, and update job schedules, status, and resource allocations.
  • Accurately characterize new customer work requests, including assessing electrical load and energy requirements and determining the need for new distribution construction.
  • Identify and specify all prerequisites for customer jobs, such as field engineering, tree trimming, electrical inspections, or special metering requirements.
  • Provide technical knowledge and consultation to customers regarding basic service design requirements, relevant city ordinances, basic electrical code requirements, and company policies related to new or existing electrical service installations.
  • Coordinate with customers, service supervisors, contract construction supervisors, builders, electrical inspectors, foresters, and metering personnel to ensure all work prerequisites are met before scheduling field work.
  • Work closely with customers, engineers, service supervisors, contract construction supervisors, electrical inspectors, foresters, and metering teams to ensure customer deadlines and commitments are met.
  • Negotiate with service supervisors, contract construction supervisors, and customers to adjust work schedules and deadlines in response to workload changes, inclement weather, or other scheduling conflicts.
  • Assist in scheduling planned customer service outages, ensuring appropriate communication, coordination, and timing to minimize customer impact.
  • Perform accurate and timely data entry related to work orders, schedules, and resource assignments within Windows-based systems and digital workforce management tools.
  • Maintain organized records of work requests, schedules, prerequisites, and status updates to support operational visibility and reporting.
  • Prioritize tasks and manage multiple work requests simultaneously, ensuring that critical and time-sensitive jobs receive appropriate attention.
  • Collaborate with internal stakeholders to identify and resolve scheduling issues, conflicts, or data discrepancies as they arise.
