The Florida Department of Children and Families (DCF) is the state of Florida’s social services agency. The agency oversees services for child safety, fostering, adoption, domestic violence, adult protective services, refugees, homelessness, mental health, substance abuse, childcare providers, human trafficking and public assistance. Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders. Florida State Hospital (FSH) is a mental health treatment facility owned and operated by the State of Florida and is part of the Department of Children and Families. This is a highly responsible and professional position serving as a Word Processing Systems Operator within Civil Clerical Services. Specific Duties and Responsibilities include: This position consists of skilled work in the operation of complex office equipment. Incumbent is responsible for varied and complex typing and clerical work requiring the exercise of independent judgment in the use of relatively involved work methods and procedures. Incumbent is responsible for the operation of a personal computer, laser printer, and copier. This position is under the direction of the Medical Unit Supervisor.

Requirements

  • Knowledge of correct spelling, punctuation and grammar usage.

  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • One year of work experience in the operation of word processing equipment; or
  • Two years of secretarial or clerical work experience; or
  • Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution, or
  • Possession of a Certified Professional Secretary Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required two years of secretarial or clerical work experience.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required two years of secretarial or clerical work experience.
  • A high school diploma or its equivalent can substitute for one year of the required two years of secretarial or clerical work experience.

Responsibilities

  • Responsible for typing minutes, memos, letters, Perfect Attendance letters/certificates, schedules, etc., for various departments from oral/written instructions.
  • Types, copies, and routes injury reports within guidelines.
  • Makes runs to deliver correspondence to other unit/departments of the hospital.
  • Proofreads material for correct spelling, punctuation, and grammar usage.
  • Reviews typed materials for accuracy, completeness, and adequacy, and for compliance with established standards and policies .
  • Maintains control of ordering, receiving, verifying, storing, dispensing, and monitoring of all medical supplies, nourishments and food supplements, and items of equipment needed for Unit 14/15 residents including equipment purchased for residents from the personal funds.
  • Solely responsible for ensuring stock levels of supplies according to Inventory Control Labels and according to AHCA and Infection Control guidelines.
  • Keeps records of usage of such items in order to compose and type reports to be used by Unit Director and Medical Unit Supervisor for budget control.
  • Independently maintains inventory of assigned area to insure adequate/appropriate level of supplies for a resident unit.
  • Rotates stock on weekly basis to ensure compliance within expiration dates.
  • Makes trips to pick up items ordered for unit as needed.
  • Performs other related duties as required..
  • Maintains compliance with mandatory Hospital and Unit in-service training.
  • Responsible for monitoring furniture/equipment for needed repairs.
  • Completes work orders and follows up for completion of repairs and returning repaired items to appropriate place.
