About The Position

Our Secure Future: Women Make the Difference (OSF), a program of PAX sapiens, works to strengthen the Women, Peace and Security (WPS) agenda to build a more peaceful world through ensuring women’s full participation in governance and peace and security decision-making. OSF is based out of the PAX Sapiens’ Washington, D.C. office. This role is for someone who is equally comfortable taking the lead role on projects, as well as willing to pitch in at all levels to get the job done right. We require a motivated self-starter who is passionate about peace and women’s rights, able to work well in a small team, and has the savvy to turn obstacles into opportunities. The WPS Project Specialist will work closely with the Associate Director and OSF team to support the program goals of Our Secure Future: Women Make the Difference. Primary duties include: oversight of technical assistance to mid-to-senior level policy decision makers (USG, Congress, or other) on Women, Peace and Security topics, support for strategic planning, direct responsibility for logistical and administrative support to OSF partners; assists the Associate Director in research and writing, including producing web content, policy briefs, research reports and other documents as are needed to achieve the goals of this fast-paced program. Special projects include: support to the WPS Congressional Fellow and Hill-related work; responsibility for backstopping the Male Allies for Women, Peace and Security Network; and WPS curriculum development for partners as requested . Requirements

  • Bachelor’s degree in relevant subject; Master’s degree preferred.
  • 2 to 5 years relevant work experience.
  • Passionate about women’s rights and international peace and security issues, particularly Women, Peace and Security.
  • Ability to thrive in high pressure environments.
  • Detail-oriented and highly organized.
  • Experience working with high-level policy decision-makers preferred .
  • Ability to handle sensitive or confidential information and situations, demonstrating poise, tact and diplomacy with a positive attitude.
  • Demonstrated experience managing competing deadlines.
  • Excellent analytical skills.
  • Superb oral and written communication skills in English.
  • Strong computer skills (Excel, Word, PowerPoint, Outlook, and other programs); willingness to learn new software to support the goal of the program.

  • Able to sit at a computer for extended periods of time.
  • Able to bend at the waist and reach on a daily basis .

Responsibilities

  • Support the management of OSF partner and /or fellow relationships , including regular communication, weekly meetings, and tracking results.
  • Work closely with OSF team to support OSF partnerships , including logistics , event planning, and administrative needs to include: manag e virtual and in-person meetings and all associated functions reserv e event spaces and catering track invitation contacts and RSVPs take meeting notes and track event calendar for OSF team
  • Manage administrative tasks and processes to include: process invoices, credit card and budget reconciliation; track and report progress across multiple simultaneous projects; draft contracts and amendments using templates; schedule meetings and events with both internal and external partners; organize and manage the shared OneDrive, contacts database, and hardware and software licensing for the DC office; liaise with the Washington, DC office building as necessary for office operations and event planning needs; and troubleshoot any IT issues with IT staff and/or consultants
  • Support OSF external communications needs, including drafting social media and website content, in coordination with OSF team and the PAX communications teams
  • Organize, maintain and manage contact lists using Salesforce, or other approved databases.
  • Liaise with OSF Advisory Council members as tasked to ensure consistent, regular communication of programmatic developments; provide logistical support in coordinating quarterly meetings and emails.
  • Assist with and conduct, facilitate , and produce original research in the form of policy briefs, research reports, blog posts, and other documents as needed using both primary and secondary sources.
  • Represent OSF to outside audiences; make public presentations about OSF’s work and mission as tasked .
  • Liaise with high-level officials when necessary; conduct off-site advance work solo, or with a team; work closely with official government agencies and other external stakeholders on OSF projects.
