About The Position

The primary purpose of you job is to assist in the day-to-day functions of human resources, payroll and front office, in accordance with current federal, state, and local standards, guidelines, and regulations governing our facility, and as may be directed by the Executive Director.

  • Ability to speak and understand the English language.
  • Possess the ability to make independent decisions when circumstances warrant such action.
  • Possess the ability to deal tactfully with personnel, residents, visitors, and the general public based on whatever maturity level they are currently functioning.
  • Ability to be calm and level-headed in emergencies.
  • Well groomed, professional and possess ability to work harmoniously with other personnel.
  • Ability to seek out new methods and principles and be willing to incorporate them into existing resident care practices.
  • Follows written and oral instructions.
  • Knowledgeable in the use of computers, e-mail, spreadsheets and document word processing.
  • Maintain patience, tact, cheerful disposition and enthusiasm, as well as ability to handle residents, staff, and visitors, based on whatever maturity level they are currently functioning.
  • Ability to motivate and positively influence residents.

Responsibilities

  • Assist in the day-to-day functions of human resources, payroll and front office
  • Assist all new hires with required paperwork and creates personnel and confidential files.
  • Enter all new hires into Workday.
  • Interpret, apply and enforce facility policies and procedures.
  • Maintain and update human resource records and forms.
  • Maintain employee data in Workday.
  • Ensure timely processing of personnel status changes.
  • Assist with Leave of Absence requests in Workday and Matrix.
  • Assist with Workers Compensation documentation.
  • Assist with duties relative to the facility’s overall payroll function.
  • Serve as the Payroll Representative in the absence of the Business Office Manager.
  • Assist department leaders with monitoring mandatory training compliance.
  • Greet and direct visitors.
  • Answer telephone and directs the caller to the appropriate staff or resident.
  • Take messages when necessary.
  • Provide callers with information such as company address, directions to the office, fax numbers, company websites and other related information.
  • Receive, sort and forward incoming mail.
  • Coordinate the pick-up and delivery of express mail services (Federal Express, UPS, etc.)
  • Order, receive, stock and distribute weekly office supplies.
  • Assist in other clerical duties as assigned by the Executive Director or Business Office Manager.
