The Wealth Management Associate role involves both proactive and reactive client interactions. You will manage daily workflows, ensure clients are scheduled and supported according to a defined segmentation model, and enable the advisor to focus on strategic planning and maintaining high-value relationships. This position combines administrative accuracy, relationship coordination, and effective process management.   • Act as the primary contact for all client communications via phone and email.
  • Address client service inquiries directly or direct them to the appropriate internal resource.
  • Maintain a professional and responsive demeanor that reflects the firm’s premium brand.
  • Manage Financial Advisor's calendar, scheduling client meetings based on service tiers.
  • Ensure timely confirmations and pre-meeting preparations.
  • Prepare and organize meeting materials using firm templates and checklists.
  • Track and ensure follow-up tasks are completed post-meeting.
  • Keep workflows, tasks, and service items accurate in our Client Relationship Management (CRM) system.
  • Provide Financial Advisor with a weekly status report on workflow progress.
  • Work with Financial Advisor operations support team to resolve any bottlenecks or delays.
  • Collect and organize client data and documentation required for account opening or financial reviews.
  • Submit complete paperwork packages, monitor for NIGOs, and ensure resolutions.
  • Assist with proposal generation and data entry into financial planning tools as needed.
  • Maintain up-to-date prospect lists and track activities.
  • Support logistics for client appreciation events and educational seminars.
  • Coordinate targeted outreach aligned with the advisor’s marketing calendar.
  • Ensure client meetings are completed as scheduled.
  • Maintain calendar accuracy with no missed or late meetings.
  • Deliver consistent and professional client communication.
  • Bachelor's degree or similar work experience in banking, financial services, business administration, or a related field is preferred.
  • Proven experience (1-3 years) in a similar role within the financial services industry is advantageous.
  • Financial services experience preferred, particularly within wealth management or financial planning.
  • Familiarity with CRM tools, scheduling software, and financial documentation.
  • Series 7 and 66 licenses preferred or willingness to pursue within 180 days of hire.
  • Proficiency with basic computer skills and Microsoft Office software.
  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Outstanding communication skills, both verbal and written, with the ability to interact professionally with clients and team members.
  • Strong analytical and problem-solving abilities.
  • High level of professionalism and integrity in handling sensitive client information.
  • Ability to work independently as well as collaboratively in a team-oriented environment.
  • Knowledge of relevant regulatory frameworks and compliance procedures.
  • Ability to travel if required to perform the essential job functions.
  • Ability to work under stress and meet deadlines.
  • Ability to read and interpret a document if required to perform the essential job functions
  • Prolonged periods of sitting at a desk and working on a computer may be required.
  • Ability to lift/move/carry approximately 15 pounds if required to perform the essential job functions.
