About The Position

The Wealth Administration Associate is responsible for supporting officers in the administration of trusts, settlement of estates and other related financial matters. The role requires clerical, organizational, and communication skills to ensure the smooth delivery of wealth management services.

Requirements

  • High School diploma or equivalent required; college degree preferred.
  • Minimum one year of administrative assistant experience preferred.
  • Prior experience in banking, finance, or legal administration is preferred.
  • Strong administrative and organizational skills, including proficiency in creating business correspondence.
  • Strong verbal, written and interpersonal communication skills.
  • Ability to multitask and work in a deadline driven environment.
  • Strong computer skills including Microsoft 365.

Nice To Haves

  • Familiarity with the probate and trust administration processes in IL and/or IA preferred.

Responsibilities

  • Assists officers with daily management of accounts.
  • Prepare, process, and maintain trust-related documents, reports and correspondence.
  • Assist in handling client inquires and provide support regarding personal and financial related matters.
  • Assist in coordinating with internal teams, financial advisors, attorneys, and beneficiaries.
  • Maintain accurate records of trust transactions, distributions and compliance requirements.
  • Schedule meetings, manage calendars, and assist in account reviews.
  • Learn regulatory and legal guidelines related to trust and estates.
  • Prepare electronic and physical filings of documents.
  • Process invoices, payments and disbursements.
  • Learn and implement standard processes, practices, workflows, time-sensitive activities, communication. preferences, and other cultural and organizational customs to enhance client experience and collaboration.
  • Learn to independently plan, schedule, and prioritize mission critical dates, times, locations, and people needs in order to achieve maximum success as a value-added contributor to the team.
  • Comply with all company or regulatory policies, procedures and requirements that are applicable to this position.
  • Foster and preserve a culture of inclusion.
