About The Position

The Operations Clerk is a non-exempt position under the Federal Fair Labor Standards Act and is eligible for overtime compensation for hours worked over 40 in a workweek. This role supports the Warehouse, Transportation, Safety, Purchasing, Customer Service, and Sales Departments through clerical operations, scheduling, reporting, and coordination activities. The Operations Clerk is responsible for maintaining accurate records, supporting operational metrics, and ensuring compliance with company and governmental requirements. They will assist with tracking deliveries, supporting drivers, managing documentation, and maintaining strong communication across departments to ensure smooth daily operations and excellent internal and external customer service.

Requirements

  • Minimum 2 years of experience in a similar operations, logistics, or clerical role.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Excel and Word; ability to learn new systems quickly.
  • Ability to adapt to shifting priorities in a fast-paced environment.

Nice To Haves

  • Bilingual English/Spanish preferred.
  • Experience with Dossier (data entry/reporting) preferred; willing to train.
  • Experience with RoadNet (reporting) preferred; willing to train.
  • Prior experience working with drivers, scheduling, or logistics coordination is a plus.

Responsibilities

  • Schedule, track, and monitor backhauls, pickups, and delivery appointments.
  • Process and track drop trailers in NCR and rail deliveries via CJX Portal.
  • Direct drivers to assigned dock doors and ensure smooth traffic flow in the yard.
  • Process incoming driver paperwork (invoices, manifests, bills of lading).
  • Provide coverage for Shipping & Receiving during lunches, breaks, or absences.
  • Communicate daily with Purchasing, Sales, and Customer Service regarding delivery timing, product issues, invoice downloads, and any concerns.
  • Complete and distribute daily, weekly, monthly, and annual operational reports and metrics.
  • Perform data entry, proofreading, and document logging for all operational functions.
  • Maintain and update spreadsheets, trackers, and departmental logs.
  • Create and maintain departmental files, including DOT files, accident files, injury files, and other regulated documentation.
  • Perform heavy filing and maintain organized storage systems.
  • Track, scan, sort, and file documents daily in accordance with compliance needs.
  • Support cross-functional projects and provide clerical support as assigned.
  • Answer department phone calls and direct inquiries appropriately.
  • Work directly with drivers, vendors, and internal teams to resolve daily operational needs.
  • Translate and assist employees with completing mandatory forms (if bilingual).
  • Collaborate with Customer Service to download, verify, and process invoices as needed.
  • Interface with Sales and warehouse teams regarding customer delivery updates, issues, or special requests.
