About The Position

Do you take pride in running a well-organized operation? Are you looking to take your warehouse or distribution experience and contribute to a beloved Bay Area coffee company? Philz is looking for a Warehouse Manager to lead our team and keep our warehouse running smoothly from receiving through fulfillment and delivery. This role is hands-on—you’ll manage people, processes, and systems to ensure orders are accurate, on time, and aligned with safety and quality standards in a food production environment. You’ll partner closely with Supply Chain, Retail, and Wholesale teams while driving continuous improvement, maintaining inventory accuracy, and building a strong, accountable team on the warehouse floor. This position is based in Oakland, CA.

Requirements

  • 3+ years of experience leading teams in a warehouse, distribution, or similar operational environment
  • Proficiency in English (written and verbal); Spanish language skills are a plus
  • Experience using Microsoft Office (including Excel), Google Workspace, and email; experience with NetSuite and/or DSI WMS is a plus
  • ServSafe Food Handler and Forklift Certification are a plus
  • Ability to analyze data and identify trends, issues, and opportunities to improve operations
  • Strong problem-solving skills with the ability to troubleshoot and resolve issues efficiently
  • Ability to prioritize and manage multiple tasks with strong attention to detail and follow-through
  • Clear and effective communication skills, including the ability to present information and collaborate across teams
  • Demonstrated ability to lead teams, maintain composure, and contribute to a positive, team-oriented work environment

  • Exerting up to 40-50 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Responsibilities

  • Responsible for hiring, coaching, developing, training, team communication and conducting all performance management for the Warehouse team.
  • Ensure compliance with SQF Code requirements, HACCP, Cal / OSHA, FSMA, GMP, personal hygiene practices and all food and worker safety regulations, and sustainability compliance programs under the direction of Plant Manager.
  • Determine work procedures, work schedules, and workflow for team members in alignment with business needs and budget.
  • Manage payroll system/wage and hour on a daily basis to include time punches, resolve discrepancies, and approve payroll and time off requests for your assigned team members to ensure accuracy and legal compliance.
  • Develop, implement and maintain standard procedures and policies for improving operational efficiencies.
  • Participate in a continuous improvement team and conduct projects to improve department issues.
  • Monitor process metrics to measure and manage operational effectiveness and KPIs.
  • Support facility wide forklift, aerial and electric pallet jack certification program.
  • Manage the daily operation of the warehouse including receiving, storage, movements, order picking, order fulfillment, shipments, retail delivery, inventory and ensuring distribution demands are met.
  • Oversee use of an automated / bar code driven warehouse management system (Cloud Inventory WMS) including training, system admin and data integrity.
  • Oversee troubleshooting, maintenance, and repair of handheld scanning devices and label printers.
  • Support research and installation of department CAPEX projects
  • Work in conjunction with Wholesale, Supply Chain and Retail Operations to determine shipping schedules.
  • Create and maintain barcodes for all new warehouse bin locations and items fulfilled from the Roasting Plant.
  • Lead EOM inventory process by preparing sheets with partnered teams, and ensuring accurate completion.
  • Ensure all wholesale, retail, and online orders are properly fulfilled and billed in ERP (Netsuite)
  • Oversee offline production area responsible for specialty packaging products partnering with the Schedule/Planner to complete work orders
  • Order items used in shipping/fulfillment processes (pallets, stretch wrap, labels, ink, etc)
