The mission of our Warehouse team is to deliver fast, accurate, efficient outbound shipments that support top-line sales and uphold a safe, productive, and high-performing warehouse environment. Reporting to the Floor Manager, the Warehouse Admin & Safety Coordinator provides day-to-day administrative support for outbound operations, ensuring that all shipment documentation is accurate, complete, and organized. Requirements

  • 1–2 years of administrative or warehouse operations support experience
  • Experience within shipping, warehousing, or distribution environments preferred
  • Strong organizational skills with excellent attention to detail
  • Comfort working with carriers, paperwork, and time-sensitive outbound processes
  • Proficiency in MS Word, Excel, Outlook; experience with RF scanners an asset
  • Strong verbal and written communication skills
  • Ability to speak/converse in Spanish preferred
  • A self-starter who takes initiative and models safe work practices
  • Demonstrated passion for safety, operational excellence, and continuous improvement
  • Ability to multitask and prioritize in a fast-paced warehouse setting
  • Comfortable leading meetings and speaking in group settings
  • Flexibility with working hours as needed

Responsibilities

  • Warehouse Administration
  • Prepare and organize all shipment documentation (pick sheets, BOLs, packing slips, shipping labels) for daily outbound operations
  • Collect, verify, and file Bills of Lading (BOLs) and ensure all paperwork for outbound shipments is accurate and complete
  • Support the Operations Lead, Supervisors, and Warehouse team with administrative tasks related to shipping and carrier coordination
  • Communicate with Carriers, Customer Care, and Warehouse team members to resolve documentation or shipment-related issues
  • Maintain organized electronic and physical filing systems for shipment paperwork, PODs, carrier documents, and warehouse administrative records
  • Support day-to-day outbound workflow by ensuring that shipping documentation is ready for the team at the right time and in the correct format
  • Assist the Operations Lead with administrative needs related to process improvements, SOP updates, and operational execution
  • Partner with Customer Care to ensure delivery information is accurate and escalations are communicated promptly

  • Safety Leadership & Compliance
  • Serve as the Warehouse Safety Champion and primary Safety Single Point of Contact (SPOC) for the Kent facility
  • Ensure all required safety training, certifications, onboarding modules, and recurring refreshers are completed and documented
  • Maintain and update safety SOPs, JHAs, MSDS sheets, safety binders, and compliance documentation
  • Track and maintain accurate records for safety training completion, incident reports, and corrective actions
  • Hazard Prevention & Inspections
  • Conduct regular safety walks throughout the warehouse to identify hazards or unsafe conditions
  • Document findings and provide to Warehouse GM, Supervisors/Leads
  • Support the investigation process for safety incidents, near misses, and equipment concerns
  • Culture Building & Safety Communication
  • Support Warehouse leadership in facilitating safety meetings, toolbox talks, and monthly/quarterly safety initiatives
  • Act as a resource for warehouse staff—answering safety questions, clarifying SOPs, and guiding proper procedures
  • Support implementation of safety improvements, PPE standards, ergonomic adjustments, and equipment training initiatives
