About The Position

The Wardrobe Coordinator is responsible for leading the care and maintenance of all costume elements for Guthrie Theater productions and events. In close collaboration with the Wardrobe Director and in coordination with designers and other departments, this role ensures high standards of craft, continuity, and safety across the production process. The Wardrobe Coordinator plays a key role in guiding the department’s workflow, overseeing costume maintenance, and ensuring production needs are met with artistic integrity and efficiency. This position has variable hours and overtime which includes nights and weekends. Requirements

  • Demonstrated and diverse wardrobe supervision experience or a combination of equivalent experience and training.
  • Demonstrated leadership, supervision and project management experience.
  • Demonstrated professional diplomacy in personnel management and designer collaboration.
  • Proficiency in Microsoft Office® products, specifically Word, Excel, Teams and Outlook.
  • Excellent written and verbal communication skills and interpersonal skills.
  • Knowledge of current best health and safety practices.
  • Skill and experience in creative problem solving to meet the artistic needs of the show within time and financial requirements.
  • MN Driver’s license required.
  • Knowledge of fabric cleaning techniques to effectively maintain costumes.
  • Knowledge of fashion, hair and costume history and the principles of design to support production integrity.
  • Demonstrated experience in sewing and costume construction to effectively supervise the maintenance and repair of costumes.
  • Can well under pressure and respond calmly and efficiently to frequent changes during the production and rehearsal process.
  • Strong commitment to safety and ergonomics in the workplace.

Responsibilities

  • Lead a team of Wardrobe Assistants, Wig and Wardrobe Technicians, and Wardrobe Overhires.
  • Actively participate in team building. Foster a work environment of Artistic Excellence; Community; Diversity, Equity, Inclusion and Accessibility; and Fiscal Responsibility.
  • Attend and/or run department meetings to communicate pertinent information to employees.
  • Coach and develop staff members in collaboration with Wardrobe Director.
  • Review and revise timecards for: Wardrobe Assistant, Wig and Wardrobe Technician, and Wardrobe Overhires.
  • Lead crews to execute plans developed by Wardrobe Director during the tech & preview process, run, and strike of the show across productions.
  • Schedule and participate in pre-tech meetings with Design Assistants, Costume / Crafts, and Wigs, Hair and Makeup staff to learn about proper handling and maintenance of costume and crafts elements and wigs.
  • Work with Stage Management to coordinate, assign and implement costume changes and ensure that paperwork for crew is up to date and accurate.
  • Shadow and prepare to run every wardrobe track. With input from wardrobe staff as needed, create accurate run sheets for swings.
  • Prepare Wardrobe Team’s load-in, show run and strike schedule for each production based on staffing plan provided by Wardrobe Director.
  • Prepare weekly schedules and update daily calls for the Wardrobe team.
  • Ensure that all Wardrobe Crew run tracks are adequately staffed during planned and unplanned absences. Arrange performance tickets and supervise training for swings.
  • Consult with all relevant departments to determine desired effects, transitions, storage and other performance-related tasks.
  • Collaborate with designers, production staff, and other departments to integrate costume elements effectively and safely.
  • Troubleshoot and resolve issues related to the care and use of costumes, wigs, and accessories.
  • Supervise repair and maintenance of costumes and wigs during the run of each show. Participate in maintenance when necessary.
  • Facilitate understudy plan developed by Design Assistants in conjunction with Wardrobe Director.
  • Expedite the tech process by supporting Stage Management and the artistic staff’s initiatives.
  • Work with Stage Management to coordinate, assign and implement costume changes.
  • Assign staff to set up and strike quick changing areas, communicating any special requirements to the team.
  • Attend technical notes sessions as wardrobe designee as assigned by Wardrobe Director.
  • Create a strike plan and schedule.
  • Communicate all relevant technical information to wardrobe crew and other departments so the productions can run in a safe, timely, and resource-effective manner.
  • Collaborate with the wardrobe team daily to monitor project progress, equipment and staffing needs.
  • Determine/monitor tools and supply needs. Purchase as needed.
  • Ensure that weekly dry cleaning and shoe repair arrangements are made.
  • Coordinate costume special effects as needed.
  • Organize and prepare information for wardrobe crew’s daily calls.
