About The Position

The position involves recording medical and administrative information in accordance with established charting and documentation policies and procedures. Responsibilities include maintaining the Daily Census Report, an up-to-date roster of residents, and filling out resident charge slips. The role also requires answering telephone calls, maintaining emergency phone numbers, and handling daily tardy and absentee reports. Additionally, the position involves transcribing physicians’ orders, charting nurses’ notes, and notifying next of kin about changes in residents' conditions. The employee will assist in admitting, transferring, and discharging residents, as well as completing necessary medical records. Participation in various committee meetings and assisting the Nurse Supervisor/Charge Nurse with work assignments is also required. The role emphasizes the importance of treating residents with kindness, dignity, and respect, and maintaining confidentiality regarding protected health information.

Requirements

  • Must possess a high school diploma or GED.
  • Exceptional communication and customer service skills.
  • Ability to read, analyze, and interpret business and technical documents.
  • Ability to write reports and business correspondence.
  • Ability to apply mathematical concepts to practical situations.
  • Ability to solve practical problems with limited standardization.
  • Basic knowledge of medical terminology and nursing practices.

Responsibilities

  • Record medical and administrative information according to established policies.
  • Maintain the Daily Census Report and submit it to the Nurse Supervisor/Charge Nurse.
  • Keep an up-to-date roster of residents for the assigned unit.
  • Fill out resident charge slips and submit them to the Business Office.
  • Answer telephone calls and deliver messages to residents.
  • Maintain a current listing of emergency phone numbers for the assigned unit.
  • Forward daily tardy and absentee reports to the Business Office.
  • Record resident identification data on medical records, wristbands, ID cards, etc.
  • Transcribe physicians’ orders to care plans and medication cards.
  • Report discrepancies in transcribing physicians’ orders to the Nurse Supervisor/Charge Nurse.
  • Review medication cards for completeness and accuracy.
  • Chart nurses’ notes in an informative manner reflecting care provided.
  • Forward new diet orders to the Director of Food Services.
  • Notify the resident’s next of kin of changes in condition.
  • Admit, transfer, and discharge residents, assisting with transportation and packing.
  • Complete necessary medical records upon admission, transfer, and discharge.
  • Forward completed charts of discharged residents to the Medical Records Department.
  • Attend various committee meetings as required.
  • Assist the Nurse Supervisor/Charge Nurse in developing work assignments.
  • Inform nursing personnel of new admissions and their details.
  • Greet newly admitted residents and escort them to their rooms.
  • Encourage timely documentation from attending physicians.
  • Inform family members of resident deaths as instructed.
  • Attend annual in-service training programs.
  • Participate in infection control program implementation.
  • Inform the Nurse Supervisor/Charge Nurse of equipment and supply needs.
  • Ensure all personnel are aware of resident care plans.
  • Report suspected fraud incidents.
  • Record all incidents/accidents and file them appropriately.
  • Maintain confidentiality of resident health information.
  • Perform other duties as assigned.
