Position Summary: A Ward Clerk performs administrative and coordination duties such as managing patient records, answering phones, and supporting unit operations, while also overseeing medication-related regulatory requirements. This role supports compliance for medication rooms, medication carts, oxygen rooms, biohazard areas, and facility-provided equipment and supplies, serving as a crucial link between nursing staff, patients, and other departments to keep the unit running smoothly and efficiently. The Ward Clerk handles clerical tasks such as chart preparation, log maintenance, inventory tracking, and communication, requiring strong organization, communication, and multitasking skills.

Requirements

  • Completion of CRMA course.
  • Current CRMA certification in the state of Maine.
  • Knowledge of medication administration standards and regulatory requirements.
  • Current American Heart Association Healthcare Provider BLS required.
  • Ability to effectively communicate in English, both verbally and in writing.
  • Basic computer knowledge.
  • Ability to engage patients and team members utilizing the CMH Experience Standards

Responsibilities

  • Provides general nursing care such as positioning patients, lifting and turning patients, applying/utilizing special equipment, assisting in the use of bedpan, commode, and ambulating patients.
  • Demonstrates the ability to perform procedures within the CRMA scope of practice per state law.
  • Maintains medication rooms, medication carts, oxygen rooms, and biohazard areas in compliance with regulatory and organizational standards.
  • Oversees the storage, labeling, security, and documentation of medications in accordance with state and facility requirements.
  • Maintains inventory of facility-provided equipment and supplies, including medication carts, oxygen equipment, OTC medications, and incontinence supplies.
  • Monitors expiration dates and removes expired or compromised medications and supplies according to policy.
  • Ensures medication carts and medication rooms are clean, organized, and inspection ready at all times.
  • Performs routine compliance checks and documents findings per departmental policy.
  • Coordinates ordering, restocking, and replacement of medications and supplies as needed.
  • Reports medication, equipment, or supply concerns to the assigned RN or supervisor.
  • Demonstrates knowledge of medication administration processes within the CRMA scope of practice.
  • Follows infection control, safety, and medication handling procedures to reduce the likelihood of medication or healthcare errors.
  • Manages and operates medication-related equipment safely and correctly.
  • Maintains accurate documentation related to medication storage, inventory, and compliance activities
  • Knowledgeable of and applies appropriate infection control procedures.
  • Performs all aspects of assigned duties in an environment that optimizes patient safety and reduces the likelihood of medical/health care errors.
  • Communicates in a clear and concise manner to RNs and medical staff.
  • Maintains a good working relationship within the department and with other departments.
  • Documentation meets current standards and policies.
  • Attends in-service education programs, as assigned, to learn new treatments, procedures,developmental skills, etc.
