The Ward Clerk provides essential administrative and clerical support to the nursing unit in a nursing home and rehabilitation facility. This non-certified role helps ensure smooth daily operations by managing documentation, communication, and coordination between nursing staff, residents, families, and other departments. Administrative & Clerical Duties Answer phones and route calls appropriately Greet residents, families, visitors, and staff in a professional manner Maintain resident charts (paper and/or electronic) File, copy, scan, and organize medical and administrative documents Enter and update resident information in the facility’s system Nursing Unit Support Assist nursing staff with non-clinical tasks Transcribe physician orders as directed (per facility policy) Prepare admission, discharge, and transfer paperwork Track and distribute physician orders, lab results, and reports Maintain census and bed board information Communication & Coordination Communicate with nursing staff, therapy, dietary, housekeeping, and admissions Notify appropriate staff of changes, orders, or requests Assist with scheduling appointments and transportation as needed Supplies & Unit Organization Order and restock unit supplies Maintain clean and organized nurses’ station Report equipment or supply needs to appropriate personnel Compliance & Confidentiality Follow HIPAA and facility confidentiality policies Adhere to infection control and safety procedures Maintain professionalism and respectful behavior at all times
