As a Voyage Coordinator, you will provide detailed data support to the Voyage Optimisation and Sales & Marketing departments, ensuring adherence to established Stolt standards, guidelines, and procedures. Your role involves managing the accurate and timely processing of invoicing and rebilling of charterers’ expenses according to Charter Party terms, and ensuring the collection of receivables within targeted time frames. You will also be responsible for maintaining and administering key voyage and COA data in IMOS, coordinating closely with internal stakeholders and customers, and supporting day-to-day voyage and customer service activities. This position is crucial for ensuring voyages are executed efficiently and accurately, with a strong focus on data integrity and financial control. You will maintain and update voyage-related data, including COA files, nominations, spot fixtures, and voyage itineraries in IMOS. Collaboration with the Voyage Management Supervisor, Trading Manager, and other Tanker Trading colleagues is essential for providing accurate information on voyage progress, profitability, and KPIs. You will also liaise directly with spot and COA customers for nominations, last cargo information, ETAs/PTAs, and service requests. Additionally, you will prepare and sign vessel certificates, provide weekly forecast reports, and maintain robust database administration, while supporting voyage optimisation activities and contributing to ad hoc projects in an analytical, detail-focused environment using MS Office and IMOS.

Requirements

  • Bachelor’s degree or equivalent level of education.
  • 1–2 years’ experience in a similar analytical role or demurrage.
  • Excellent analytical skills with a high level of accuracy and attention to detail.
  • Strong communication skills with a problem-solving approach.
  • Computer skills with good working knowledge of MS Office applications.

Responsibilities

  • Provide detailed data support to the Voyage Optimisation and Sales & Marketing departments.
  • Manage accurate and timely processing of invoicing and rebilling of charterers’ expenses according to governing Charter Party terms, including entering extra charges in IMOS.
  • Ensure collection of receivables within targeted time frames.
  • Maintain and administer key voyage and COA data in IMOS, including COA files, nominations, spot fixtures, voyage itineraries, and any changes to ensure data accuracy.
  • Coordinate closely with internal stakeholders (Voyage Management Supervisor, Trading Manager, Tanker Trading colleagues) and customers (spot and COA) to provide accurate information on voyage progress, profitability, KPIs, and handle service requests.
  • Support day-to-day voyage and customer service activities.
  • Prepare and sign vessel certificates in accordance with legal directives.
  • Provide weekly forecast reports.
  • Maintain a robust and accurate database administration.
  • Support voyage optimisation activities and contribute to ad hoc projects assigned by management.
  • Maintain voyage itinerary and P/L for assigned ships, and provide comments on voyage progress.
  • Ensure IMOS entries for barging and transshipments.
  • Maintain all relevant COA KPIs as directed by the Trading Manager.
