About The Position

The Volunteer & Office Coordinator at Pueblo Zoo is responsible for managing volunteer programs and supporting the administrative operations of the zoo. This part-time role involves recruiting, onboarding, and retaining volunteers while ensuring effective communication and organization within the office. The position requires excellent customer service skills and the ability to manage multiple tasks in a dynamic environment.

Requirements

  • High school diploma or GED required; Associate's degree preferred.
  • 1 year of experience in general office work.
  • Experience with Microsoft Excel, Word, and PowerPoint required.
  • Valid Driver's License required for using a personal car for deposits and errands.

Responsibilities

  • Collaboratively assess the zoo's various needs for volunteers and develop recruitment strategies.
  • Communicate with department heads and directors about their volunteer needs.
  • Oversee and maintain administrative aspects of all volunteers and interns, including releases, health records, the tracking of hours, and website information.
  • Seek out and maintain relationships with community resources.
  • Assist with events that occur on zoo grounds by coordinating volunteer needs, including scheduling, communication, training, and assigning duties to one-time event volunteers.
  • Responsible for overseeing groups that want to volunteer at the zoo, such as college clubs, corporations, and boy- & girl-scout troops.
  • Act as point person for all Eagle Scout service project inquiries.
  • Work with community service volunteers and guest services staff to maintain record of hours volunteered.
  • Develop and update all volunteer material and communications.
  • Responsible for volunteer appreciation and recognition, including planning two yearly lunches.
  • Maintain positive relationships with all zoo volunteers.
  • Perform quarterly volunteer surveys to consistent volunteers as well as post-event volunteers.
  • Maintain all record keeping of hours and report to appropriate organizations yearly, such as AZA.
  • Maintain an orderly accounting filing system as it pertains to Accounts Payable and Accounts Receivable.
  • Reconcile daily cash bags and make bank deposits.
  • Cross-trained in the guest services areas for coverage as needed.
  • Provide information during the audit to the external Auditor as requested.
  • Write minutes to staff meetings as needed for outside documentation of record keeping.
  • Knowledge of all office equipment and ensure maintenance & supply ordering including copier, telephone and laminator.
  • Maintain an inventory of supplies and communicate needs and requests from various departments.
  • Purchase supplies and equipment as authorized by management.
