About The Position

This position reports to the Smith-Gilbert Gardens Executive Director and serves as the primary contact for visitors, oversees retail operations for the gift shop, coordinates membership promotions and sales, assists with marketing functions as directed, and assists with special events. This position is also responsible for balancing cash receipts, making deposits, reconciling financial statements, handling vendor invoices, and maintaining the membership database.

  • ​Demonstrate ability to work with volunteers representing diverse backgrounds and ages.
  • A Bachelor’s degree, plus 2-3 or more years of retail management experience (preferably in a museum/non-profit setting); however, a high school diploma with 5+ years retail management experience in a museum/non-profit setting may substitute for a college degree. Must have demonstrated experience with financial processes and procedures.

  • This position classifies the physical exertion requirements as medium work involving lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds. If someone can do medium work, we determine that he or she can also do sedentary and light work.
  • Essential functions are regularly performed without exposure to adverse environmental conditions.

Responsibilities

  • Oversee daily visitation and serve as primary on-site venue representative. Present proactive, solution-oriented demeanor. Work with Program & Visitor Services Assistant and other Gardens staff and volunteers to assist visitors, including selling tickets and gift shop items, answering phone calls and e-mail inquiries, and responding to guest needs during their visit.
  • Assist Executive Director to establish, evaluate, and implement policies and procedures related to visitor services. Communicate effectively with staff and volunteers to ensure established policies and procedures are being followed.
  • Responsible for all aspects of gift shop management. Focus on building the SGG brand and establish a quality retail operation. Forecast volume and establish quarterly sales goals.
  • Handle bank deposits, reporting to Tyler or similar accounting platform. Process all invoices and purchase orders for Gardens.
  • Prepare accounting and inventory reports (monthly and annually) on an as needed basis, track income from admissions, gift shop sales, plant sales, events, programs.
  • Serve as membership coordinator. Assist Executive Director to promote, sell and track garden memberships. Maintain timely, relevant communication with garden members following established best practices. Enter donations into SGG Foundation database records and prepare gift acknowledgement letters.
  • Provide assistance with garden events.
  • As required, plan and execute training for gift shop volunteers. Coordinate gift shop volunteer schedules.
  • Order office supplies and other supplies as needed.
  • Prepare reports on visitor demographics and membership sales.
  • Perform other related duties as assigned.
