About The Position

At Animal Hospital of Wilkes, the front desk is considered the command center of the hospital. The company is seeking a high-performing Veterinary Receptionist or Client Service Representative (CSR) who excels in a fast-paced, detail-driven environment and understands the critical role of communication, organization, and systems in delivering exceptional patient care. This role offers an opportunity for a customer service professional with a healthcare, veterinary, or medical office background to serve as the first line of support, a trusted resource for clients, and a key partner to the clinical team. It is a high-impact position, serving as the first and last touchpoint in the client journey, collaborating closely with DVMs, technicians, and assistants. The environment is fast-paced and purpose-driven, with every interaction directly supporting patient outcomes. Requirements

  • 1+ year of experience in a client-facing, healthcare, or medical office setting
  • High school diploma or equivalent required
  • Demonstrated ability to multitask, prioritize, and manage workflow in a fast-paced setting
  • Strong working knowledge of computer systems, scheduling software, and data entry accuracy
  • Exceptional communication skills—clear, compassionate, and solution-oriented
  • Ability to remain calm, professional, and proactive under pressure
  • Team-first mindset with a commitment to supporting both clients and colleagues
  • Availability to work four 10-hour shifts per week on a rotating schedule
  • Position is weekday-only — no weekends required

Nice To Haves

  • Veterinary experience strongly preferred
  • Experience in veterinary, medical, dental, or specialty healthcare environments
  • Confidence handling sensitive conversations, financial discussions, and emotional situations
  • Strong attention to detail with a focus on accuracy in records and communication
  • Ability to anticipate needs and act as a proactive problem-solver

Responsibilities

  • Deliver a professional, warm, and efficient client experience from check-in to checkout
  • Manage high-volume phone lines, appointment scheduling, and hospital flow with precision
  • Accurately maintain electronic medical records (EMR), including client, patient, and financial data
  • Serve as a communication hub between clients and the medical team to ensure continuity of care
  • Process payments, review invoices, and confidently explain services and treatment plans
  • Support prescription requests, food orders, and retail coordination
  • Assist in gathering patient histories and verifying vaccine/test status
  • Triage incoming calls and situations, identifying urgent or emergent cases with sound judgment
  • Maintain organization and efficiency at the front desk in a high-demand clinical environment
