DH Pace Company, Inc. is seeking a highly organized and proactive Vendor Management Specialist based in our corporate office in Olathe, KS. This opportunity will support vendor operations and documentation management across the organization. This role plays a critical part in ensuring vendor compliance, maintaining documentation accuracy, and supporting internal stakeholders with timely, professional communication. The ideal candidate thrives in a fast-paced environment, takes ownership of their responsibilities, and demonstrates exceptional attention to detail, particularly in identifying inconsistencies, gaps, or documentation discrepancies before they become issues.

Requirements

  • Bachelor’s degree or continuing education in Business Administration, Operations, or a related field preferred.
  • 2+ years of administrative, vendor coordination, contract support, or operations experience.
  • Demonstrated ability to work independently and take initiative with minimal supervision.
  • Strong time management and prioritization skills with the ability to adapt to shifting priorities.
  • Proactive problem-solving mindset with strong attention to detail.
  • Professional communication skills and a collaborative approach when working cross-functionally.

Nice To Haves

  • Experience with contracts, insurance documentation, construction vendors, or compliance processes is a plus.

Responsibilities

  • Review, analyze, and maintain vendor documentation to ensure accuracy, completeness, and compliance with company standards.
  • Identify inconsistencies or discrepancies in contracts, insurance documentation, and vendor records and proactively resolve issues.
  • Partner with internal stakeholders to understand reporting, documentation, and compliance needs.
  • Coordinate the collection, tracking, and archiving of vendor-related documents within established timelines.
  • Draft and manage written communications related to vendor contracts and documentation requirements.
  • Maintain an organized and accessible vendor library, ensuring records are current and audit-ready.
  • Develop and manage project timelines to meet deadlines in a fast-paced environment.
  • Contribute to process improvements that enhance efficiency, organization, and operational effectiveness.
  • Provide support on cross-functional initiatives and special projects as needed.
