About The Position

As a Vendor Coordinator, you’ll oversee the end-to-end processing of promotional product orders, ensuring accuracy and timeliness from submission to delivery. You’ll communicate with vendors, review proofs, and maintain documentation to support seamless order execution. Your work will directly support our customer service and operations teams by ensuring promotional orders are fulfilled correctly and on time. You’ll help maintain strong vendor relationships, resolve issues proactively, and contribute to a smooth and reliable ordering experience. Your attention to detail and communication will help uphold our brand standards and customer satisfaction. By supporting internal visibility and documentation, you’ll play a key role in operational efficiency.

Requirements

  • Bachelor’s degree in Business, Marketing, Communications, or a related field.
  • 1 to 2 years experience in order processing, vendor coordination, customer service, or administrative support.
  • Strong organizational and planning skills
  • Clear and professional written and verbal communication
  • Attention to detail and ability to identify inconsistencies
  • Problem-solving and critical thinking
  • Ability to prioritize tasks in a fast-paced environment
  • Comfortable using Pace, Microsoft Office Suite, and chat platforms

Nice To Haves

  • Experience with promotional products or purchase orders is a plus.

Responsibilities

  • Review and process promotional orders submitted via Director Store Front (DSF) and Promo inbox
  • Create and submit accurate purchase orders with required artwork and specifications
  • Review vendor proofs and escalate discrepancies to customer service
  • Communicate professionally with vendors to confirm details and resolve issues
  • Track order progress, update documentation, and reconcile monthly credit card statements
  • Collaborate with internal teams to support order execution and process improvements
