About The Position

The Vehicle Safety Coordinator is responsible for overseeing the safe operation of company vehicles, ensuring compliance with organizational policies and applicable regulations. This role manages driver eligibility, maintains vehicle related documentation, supports fleet telematics programs, and assists in driver training initiatives. The ideal candidate has strong attention to detail, effective communication skills, and a minimum of two years of experience managing fleet vehicles or supporting a fleet safety program. This is a safety sensitive position.

Requirements

  • Minimum of 2 years of experience managing fleet vehicles, fleet safety programs, or equivalent responsibilities.
  • Knowledge of motor vehicle regulations, MVR processes, and driver compliance standards.
  • Strong recordkeeping, organizational, and documentation skills.
  • Ability to communicate clearly and professionally with employees at all levels.
  • Proficiency with basic computer applications and willingness to learn fleet/telematics software.

Nice To Haves

  • Experience with telematics systems (e.g., GPS tracking, driver scorecards).
  • Previous work in EHS, Fleet Management, Transportation, or Risk Management.
  • Training delivery or safety coaching experience.

Responsibilities

  • Determine and monitor which employees are authorized to operate company vehicles in accordance with the Company Vehicle Use Policy.
  • Obtain and review Motor Vehicle Reports (MVRs) for new hires or existing employees whose job duties require driving a company vehicle.
  • Review driver record notifications when received and ensure timely follow up.
  • Maintain and routinely verify an up to date company driver list.
  • Manage and retain all driver notices, documentation, and compliance records under the Vehicle Use Policy.
  • Communicate driver eligibility decisions to supervisors and management.
  • Distribute or collect authorized driver stickers/badges for affected employees.
  • Assist with the setup, coordination, and ongoing support of the company’s vehicle telematics system.
  • Monitor driver behavior reports and identify trends or changes in driver safety scores.
  • Flag concerns and escalate issues as needed to supervisors and EHS leadership.
  • Participate in incident review processes as required.
  • Assist in assigning and tracking required driver training for new and existing employees.
  • Coordinate Corrective Action Training for drivers when necessary.
  • Maintain complete FMCSA compliant driver qualification files, including employment application, prior employer checks, MVRs, medical certificates, road tests, and required annual reviews.
  • Track DQ file expiration dates and ensure timely updates.
  • Ensure confidentiality and secure storage of driver records.
  • Ensure compliance with Federal Motor Carrier Safety Regulations (FMCSR), including Parts 383, 390 396.
  • Support required DOT audits and internal compliance reviews.
  • Verify CDL endorsements, medical certifications, and recordable incident documentation.
  • Coordinate with third party systems for automated MVR pulls, record retention, and audit readiness.
  • Ensure data accuracy between internal systems and third party platforms.
  • Monitor notifications for expiring documents and follow up with drivers and supervisors.
  • Analyze telematics data such as speeding, harsh braking, distracted driving, seatbelt use, and idling.
  • Compare telematics driver behavior scores with MVR findings to identify risk patterns.
  • Collaborate with telematics vendors to resolve technical issues, configure alerts, and improve reporting accuracy.
  • Conduct regular MVR evaluations and match violation history with telematics behavior trends.
  • Flag discrepancies or emerging risks and notify supervisors.
  • Use MVR + telematics combined analysis to recommend coaching, training, or corrective action.
