About The Position

The Facility Operations Specialist position within the Department of Labor's Administrative Services team is a technical role focused on the processing and delivery of mail, monitoring and ordering supplies, and maintaining the safety and custodial care of buildings and grounds. The role involves a variety of tasks including shipping and receiving, procurement of supplies, maintenance and safety checks, and custodial duties, ensuring a well-functioning and safe work environment.

Requirements

  • Two or more years of building custodial, maintenance work, and/or postal operations experience in government or private industry.

Responsibilities

  • Process incoming and outgoing mail through the Department and Buildings and General Services (BGS) systems.
  • Handle a large volume of documents daily while ensuring confidentiality.
  • Distribute incoming mail to appropriate divisions or personnel.
  • Act as a liaison between the Department and the BGS Postal Division and Copy Center.
  • Contact vendors for ordering and expediting deliveries.
  • Maintain mailroom equipment and coordinate high-level maintenance or repairs with vendors.
  • Complete stockroom operations and control inventory of supplies.
  • Follow federal and state procurement requirements for supplies.
  • Process employee requests for supplies and ensure correct billing codes are used.
  • Verify quantity and quality of goods received against packing slips.
  • Track inventory and coordinate with state surplus for unneeded supplies.
  • Deliver supplies to employees and the state surplus warehouse as needed.
  • Maintain records and prepare reports as required.
  • Complete general preventative building maintenance and minor repairs.
  • Arrange and oversee contractor and vendor work on buildings.
  • Conduct compliance reviews for federal and state safety and building code requirements.
  • Participate in snow removal, grounds keeping, garbage removal, and recycling.
  • Perform regular cleaning and housekeeping duties, including vacuuming, mopping, and deep cleaning.
