Job Duck is a virtual staffing company that matches candidates to work from home for a single U.S.-based business, in most cases a law firm. We are seeking a highly organized and detail-oriented Client Intake & Administrative Assistant to join our team. This role is essential in ensuring a smooth and professional experience for our clients from their first point of contact through the intake process. The ideal candidate is proactive, tech-savvy, and excels in communication and time management.

Requirements

  • At least 2 years of proven experience in Customer service and Systems administration or Executive Assistant duties
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Proficiency with email platforms, scheduling tools, and CRM systems
  • Ability to work independently and handle confidential information with discretion
  • High attention to detail and a proactive approach to problem-solving
  • Familiarity with tools like Google Workspace, Calendly, or similar platforms

Responsibilities

  • Manage and organize incoming emails, ensuring timely responses and follow-ups
  • Answer phone calls, emails, and text messages from clients with professionalism and care
  • Respond to client inquiries and provide accurate information about services
  • Schedule appointments, consultations, and manage calendars efficiently
  • Add new leads to the tracking system and maintain accurate records
  • Follow up with leads to ensure timely progression through the intake process
  • Schedule and coordinate paid consultations
  • File documents accurately and ensure they are saved in the correct locations
  • Send reminders for tasks and deadlines to relevant team members
  • Assist in organizing case files and maintaining up-to-date client records
