Under the direction of the Regional Director, the Utilization Manager is responsible for driving and maintaining utilization across the assigned schools, including managing outreach, recruitment, and enrollment at the assigned schools, as well as leading family engagement efforts to support retention.

Requirements

  • Requires the ability to perform the work in person (on-site).
  • Strong communication, interpersonal and persuasion/sales skills
  • Knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Must have excellent organizational skills with ability to remain focused while managing multiple tasks.
  • Requires strong clerical skills, including proficiency in word-processing, database, and spreadsheets.
  • Must be highly organized.
  • Requires the ability to communicate and work well with others.
  • Ability to maintain confidentiality.
  • Requires the ability to read, write and speak effectively in English.
  • Bachelor’s degree in early childhood education or related degree; or an equivalent combination of training and progressively responsible experience that will result in the required specialized knowledge and abilities to perform the assigned work.
  • Must have a minimum of one (1) year of school enrollment related experience.
  • Have any proper or required state certification to accomplish duties of role.

Responsibilities

  • Drive and maintain school utilization & enrollment including guiding prospective families through the enrollment process, including providing detailed program information, conducting tours, and assisting with application submissions.
  • Manage and maintain CRM to ensure accurate records of enrollment activities and track prospective and current families.
  • Serve as the primary point of contact for families inquiring about programs, fostering relationships to build trust and excitement about the center’s offerings. Provide personalized support to address family concerns, questions, or special requests, ensuring a positive enrollment experience.
  • Ensures family completes all required family documentation. Assist families in meeting deadlines for document submissions.
  • Partner with center directors and leadership teams to understand staffing and capacity, forecast enrollment trends, plan marketing initiatives, and meet enrollment goals. Provide updates and reports on enrollment progress, identifying challenges and recommending strategies to optimize occupancy.
  • Represent the childcare center at community events, school fairs, and local organizations to increase visibility and attract prospective families. Develop and distribute marketing materials such as brochures, flyers, and digital content to promote the center's programs.
  • Work with current families to ensure smooth transitions within programs and into new classrooms or age groups. Conduct periodic check-ins with families to ensure satisfaction and encourage long-term enrollment.
