To support Clinic Providers through scheduling clinic and surgery appointments. The position involves managing all patient surgeries, including scheduling, documentation, consents, and patient education using specialized computer systems. The role also includes preparing patient files for surgery, maintaining communication with preoperative patients, and ensuring all necessary documentation is in place. Additionally, the position requires managing physicians' clinics, coordinating patient financial responsibilities, handling correspondence, and assisting with training new hires.

  • Manage all patient surgeries including scheduling, documentation, consents, and patient education.
  • Prepare patient files for surgery by reviewing documentation of clinic visits, pre-op work ups, lab reports, and referring physician correspondence.
  • Provide ongoing coordination and communication to all preoperative patients.
  • Maintain surgery tracker in teams with physician surgery.
  • Ensure all elective lenses and procedures are updated on the Elective surgery tracker in TEAMS.
  • Release unused OR time in Hospital IQ 15 days prior to surgery date.
  • Manage physicians’ clinics by approving overbooks and reviewing upcoming clinic schedules.
  • Serve as the liaison between scheduling, staff, and physicians to ensure clinic efficiency.
  • Responsible for template changes, clinic cancellations, and patient notifications.
  • Prepare all clinic change requests and approvals.
  • Review clinic schedules weekly ensuring referrals and pre-certifications are in place.
  • Coordinate patient financial responsibilities with financial counseling and precertification teams.
  • Communicate with revenue cycle teams regarding elective service needs and billing issues.
  • Handle all correspondence including patient letters, physician requests, and clinic cancellations.
  • Manage physicians’ calendars, office files, surgery schedules, certifications, and licenses.
  • Help train all new hires onboarding with the Storm Eye Administrative Assistant team.
  • Perform all other duties as assigned by the Department Administrator and Supervisor.
  • A high school diploma and two years work experience directly related to the area of employment.
  • A bachelor's degree may be substituted for the related work experience.
  • Some positions require a valid driver's license and good driving record.
  • Correctable vision of 20/40 in both eyes, with or without conventional lenses.
  • Physical qualifications in accordance with Federal Motor Carrier Safety Regulations.
