Position Summary According to established policies and procedures, performs various clerical and record keeping tasks related to registration, scheduling, and maternity statistic reporting. Maintains patient charts in an accurate manner and maintains adequate unit supplies.

Requirements

  • Work requires a high school level of knowledge to be able to read, write, perform simple arithmetic calculations and deal effectively with people.
  • Basic analytical ability is required to gather and interpret data in situations where the problems are not difficult or complex.
  • Work requires familiarity with various forms, insurance requirements, medical terminology, Epic documentation and departmental procedures, generally acquired through six months experience.
  • Ability to operate multi-line phone systems, fax machine, copiers, and other office equipment.
  • Must have exceptional interpersonal skills to deal effectively with internal and external customers.
  • Must have aptitude and ability to prioritize and organize work effectively, using discretion, initiative, and independent judgement to follow through with assignments.
  • Work requires the ability to meet deadlines, accurately transcribe information and work under minimal supervision.
  • Must be able to maintain flexibility by accepting and adjusting to rapid change in a fast-paced environment.
  • Maintain Health Care Provider CPR Certification.
  • Minimum requirement, high school diploma or GED.
  • Complete WebEd courses and other required education.
  • Complete annual fit testing.
  • Obtain Notary Public certification within 6 months of hire and maintain certification thereafter.
  • LMH is accredited by DNV and TJC, and as such, may require specific annual education related to specialty certifications and standards.

Responsibilities

  • Greet and assist patients, families, visitors, and medical staff as needed.
  • Distribute interoffice mail.
  • Check and fill printer/copier paper.
  • Enters work orders as needed.
  • Enters IS issues as needed.
  • Check e-mail.
  • Collect and update data such as add on’s, cancellations, room assignments, trigger numbers, and/or anesthesia assignments for daily schedule.
  • Update previous day’s schedule.
  • Print, fax, and distribute various iterations of the schedules according to specific department/office needs.
  • Tracks and enters data such as staffing statistics, late starts, delays, surgery case exposures, add on’s, and cancellations into multiple spreadsheets.
  • Collect and file booking sheets, history and physicals, and consents as necessary.
  • Print and distribute preference cards.
  • Field telephone calls.
  • Manage vendor management activities.
  • Manage and maintain ISO Documents for OR, PACU, Sterile Processing, and other areas as needed.
  • Manages PACU log.
  • Bed Management – Find beds and room numbers for all Admission cases.
  • Reconcile corrections to OR Preference Cards and manage documentation.
  • Schedule GI, IR, and other add-on cases.
  • Assist with payroll duties.
  • Order forms from print shop as needed for Surgery, GI, OPS, PACU and PAT.
  • Completes ISO document control audits.
  • Preventative maintenance on copier arrangements for repair, also any other desk equipment.
  • Order office supplies as needed.
  • Put supplies away as needed.
  • Update payroll sheet.
  • GI counts for the week to purchasing.
  • Make OR Staff Schedule.
  • Check Storz cameras to make sure Images have been sent.
  • Ensures updated forms are being utilized in the department based on ISO document control.
  • Review policies and procedures as applicable.
  • GI ERCP/Cecum Report as needed.
  • Surgeon Utilization Report.
  • Maintain and restock all OR Books.
  • Collect all monthly paperwork (Vendor book, Crash Cart, Outdates, GI and PACU documents).
