About The Position

The Unit Specialist I provides comprehensive administrative and clerical support to the faculty, staff, and students of the Physiology Department within the University of Louisville. The position plays a key role in maintaining the department’s operations by handling communications, scheduling, recordkeeping, and student support services in a fast-paced academic environment. This is a benefit eligible, part time position scheduled to work 30 hours per week.

Requirements

  • Bachelor's in a related field or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), polling, online video conference programs like Zoom or Teams, and other common programs.
  • Excellent verbal and written communication.
  • Strong interpersonal skills for interacting with students, faculty and staff.
  • Strong attention to detail.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Comfortable working independently and under supervision.
  • Reliable and punctual.
  • Discretion with confidential information.
  • Adaptability and a proactive attitude.

Nice To Haves

  • Associate or bachelor’s degree in business administration or a related field.
  • 3+ years of experience working in an administrative role in higher education.
  • Knowledge of or ability to quickly learn university systems (e.g., PeopleSoft, Workday).
  • Familiarity with FERPA and confidentiality practices in education.
  • Experience coordinating travel in a university or corporate setting.
  • At least 2 years of administrative or office support experience.
  • Prior experience in data entry, scheduling, or customer service.

Responsibilities

  • Assists department Unit Specialist III with student recruitment and admissions.
  • Tracks department graduates into professional school and maintains other post-graduation student data.
  • Acts as first point of contact for students and faculty in the Physiology office; greet and welcoming visitors; and creates a positive impression for the department.
  • Assist students with tasks such as scheduling appointments with faculty, coordinating dissertation defenses, poster and dissertation printing, etc.
  • Assists in planning student events and conferences.
  • Assists students and faculty members with travel planning, expense reporting, and reimbursement.
  • Reserves classrooms and conference rooms as needed for courses and meetings.
  • Facilitates department communications.
  • Compiles communications from and to students, faculty and staff, via up-to-date group distribution lists.
  • Maintains department telephone/email directory and distributes annually and additionally when changes occur.
  • Assists with Department records maintenance, archival disposition, and shredding of confidential documents.
  • Makes purchases and payments on behalf of the department through utilization of ProCards and university systems for requisitions and wire transfers.
  • Collects required backup for all purchases/requisitions/wire transfers.
  • Other duties as assigned.
