The Unit Secretary functions as a key member of the healthcare team, supporting daily unit operations, facilitating communication, and ensuring timely and accurate management of patient information and supplies. Requirements

  • Proficiency in computer systems and electronic medical records (EPIC experience preferred)

Responsibilities

  • Recognizes the Unit Secretary role as essential to the overall function of the department, patient care, customer service, and healthcare operations.
  • Monitors physician and provider orders in the electronic medical record (EMR) and communicates consults and updates promptly and appropriately.
  • Schedules studies, procedures, and appointments as needed and pages or contacts providers per established procedures.
  • Regularly reviews task lists for new and STAT orders, alerting the appropriate nurse of updates.
  • Independently orders supplies, forms, and materials to maintain current inventory, placing orders in the electronic system as directed.
  • Ensures timely and appropriate storage of all supplies.
  • Assists the unit manager in identifying and reporting equipment issues (e.g., EMR devices, printers, WOWs) and tracks resolution, escalating barriers as needed.
  • Maintains and organizes paper charts in compliance with medical record guidelines.
  • Ensures integrity and accuracy of patient records, including proper identification on all forms.
  • Prepares complete records for patient transfers, discharges, or facility transitions, including both paper and EMR documents.
  • Maintains readiness for EMR downtime events, ensuring all necessary materials and equipment are available.
  • Greets and assists patients, visitors, and staff in a courteous and professional manner.
  • Responds promptly to routine inquiries and directs calls appropriately.
  • Performs admission, discharge, and transfer registration activities efficiently.
  • Manages mail, pneumatic tube systems, and communication channels to maintain seamless unit operations.
  • Maintains a clean, organized, and safe environment for patients and staff.
  • Submits and tracks maintenance work orders as needed.
  • Follows established cleaning and infection prevention guidelines.
  • Demonstrates initiative by seeking opportunities for growth and assisting others.
  • Completes assigned education, annual competencies, and participates in unit-based councils and performance improvement initiatives.
  • Identifies unit needs and contributes to process improvements.
