About The Position

The Unit Coordinator is responsible for coordinating daily operations within the Hospital Units, providing administrative support to the nursing department, assisting with operational planning, and assisting with the management and coordination of the nursing staff schedule. This role ensures efficient workflow, compliance with healthcare standards, and effective communication across departments to enhance patient care and operational efficiency.

Requirements

  • High school diploma required, Associates and/or Bachelor’s degree in healthcare or a related field preferred.
  • Minimum of 1-3 years of experience in a psychiatric or healthcare setting preferred, with demonstrated experience in administrative or coordination roles.
  • Strong organizational and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in using electronic health record systems and other healthcare software.
  • Ability to work collaboratively in a multidisciplinary team environment.

Responsibilities

  • Administrative Support to Nursing Department
  • Assist the nursing department with scheduling, staffing coordination, schedule management, and resource allocation to ensure adequate coverage and continuity of care.
  • Support the nursing leadership team in managing communications, facilitating team meetings, and organizing training sessions.
  • Maintain inventory of medical supplies and equipment, and coordinate with vendors for timely replenishment.
  • Assist in the completion of Daily Environment of Care Rounds accurate and efficient documentation, as well as ensuring communication of findings through designated channel
  • Coordinate daily operations within the unit to optimize patient flow and resource utilization.
  • Identify areas for improvement and recommend changes to enhance efficiency and patient satisfaction.
  • Maintain inventory of medical supplies and equipment, and coordinate with vendors for timely replenishment.
  • Medical Records Management
  • Assist with the management of patient medical records, ensuring accuracy, completeness, and compliance with HIPAA regulations.
  • Ensuring physical charts are completed and collected by the Medical Records Department in a timely and efficient manner.
  • Ensure timely and accurate documentation of patient care activities, including admissions, discharges, and transfers.
  • Communications and Collaboration
  • Act as the primary liaison between the Nursing Department and other departments within the facility, ensuring effective communication and collaboration.
  • Coordinate with external healthcare providers and agencies to support patient care and discharge planning.
  • Facilitate communication with patients' families and ensure they receive information and support throughout the treatment process.
  • Quality Assurance and Compliance
  • Monitor adherence to facility policies, regulatory standards, and accreditation requirements, conducting regular audits and reviews.
  • Participate in quality improvement initiatives and risk management activities to enhance patient safety and care quality.
  • Prepare and submit reports on unit performance, incidents, and compliance issues to facility leadership.
  • Crisis Management and Support
  • Assist in managing crisis situations, providing support to clinical staff, and ensuring patient and staff safety.
  • Implement de-escalation techniques and crisis intervention strategies as necessary.
  • Coordinate with security personnel and emergency services during incidents.
