About the position

The Unit Coordinator is responsible for the overall clerical functions of the nursing station/front desk. This role involves working collaboratively with the clinical team to participate in the delivery of patient care by providing a variety of clerical, customer relations, and support services to patients, their families/visitors, and healthcare team members. The position is located in the Med Surge - Neuro/Stroke unit and requires a schedule of 16 hours, working days/evenings every weekend in 8-hour shifts.

Responsibilities

  • Greets and directs patients, families, visitors, and staff in a friendly, courteous, positive customer service manner.
  • Coordinates activities of front desk/office support services and performs clerical duties for the department.
  • Answers/responds to telephone calls and inquiries in a timely manner.
  • Checks and replies to BMC e-mail frequently during shift.
  • Logs in to the pulmonary function test (PFT) extension at the start of each shift and logs off at breaks and end of shift.
  • Uses manual/computer programs for access & data entry of patient information.
  • Answers patient call lights in a timely manner and follows up on requests.
  • Maintains communication data, including computer, charge/white boards, and daily communication sheets.
  • Participates in orienting patients to their room and unit.
  • Initiates daily RN phone assignment and logs RN daily phone numbers.
  • Secures patients' personal property and belongings according to hospital procedures.
  • Monitors healthcare computer software systems for new discharge orders and prints discharge summaries.
  • Handles and distributes mail, flowers, gifts, etc.
  • Identifies emergency situations and initiates appropriate response actions.
  • Coordinates and makes appointments for transportation for patients.
  • Works collaboratively with other units, services, and departments.
  • Performs a variety of office and clerical functions, such as photocopying and faxing.
  • Coordinates unit's communications including placing alpha numeric text pages.
  • Assists in patient admission, discharge, and transfer processes.
  • Maintains accurate, complete, up-to-date patient care records.
  • Prepares charts and labels on admission with appropriate documentation sheets.
  • Accesses, retrieves, and enters computerized and non-computerized data.
  • Schedules and books patient appointments.
  • Checks chart for completeness and ensures appropriate pathway sheets are in place.
  • Transcribes patient care orders accurately and in a timely manner.
  • Collaborates with the healthcare team to obtain necessary information for test/procedure scheduling.
  • Maintains appropriate manual/computer logs records and unit databases.
  • Ensures that the unit has a current Downtime Materials Box.
  • Conducts daily rounds to ensure a safe and clean environment.
  • Initiates work/repair orders and logs issues with the ITS rounder.
  • Logs/completes daily patient charges/billing.
  • Checks inventories, orders, maintains, and restocks supply of papers, forms, and office supplies.
  • Participates in searches for missing patients, belongings, and/or equipment.
  • Maintains and troubleshoots basic office equipment.
  • Acts in a manner that supports a positive and collaborative work environment.
  • Seeks out and acts upon constructive feedback regarding daily performance.
  • Participates in staff meetings and quality improvement projects.
  • Complies with established practice standards, policies, procedures, and regulations.
  • Maintains a presentable appearance in accordance with dress code.
  • Assists in orientation of new staff and serves as a resource to float staff.
  • Adapts to changing patient and unit needs.
  • Collaborates with charge nurse/supervisor to coordinate break periods.
  • Remains knowledgeable of and demonstrates reliability in regard to established work rules.
  • Utilizes hospital's cultural beliefs as the basis for decision making.

Requirements

  • Requires a high school education or GED.
  • One to two years previous clerical experience, preferably in a healthcare setting.
  • Demonstrated competence to effectively speak, read, and write English.
  • Ability to accurately interpret and utilize medical terminology and abbreviations.
  • Demonstrated proficiency with various computer software systems, including Microsoft Office and hospital systems.
  • Ability to use and troubleshoot basic office equipment.
  • Excellent interpersonal skills and ability to interact appropriately with nursing staff, patients, families/visitors, physicians, and other hospital staff.
  • Organizational skills to effectively set priorities and efficiently complete assigned work.
  • Ability to effectively apply basic administrative skills, e.g., typing, filing, telephone skills.
  • Physical ability to meet core job requirements in accordance with practice setting demands.

  • Multilingual skills (beyond that of English) in languages appropriate to the patient populations served.
