About The Position

Under the general supervision of the Surgical Services Supervisor, the Unit Clerk Surgery Scheduler will perform clerical duties and schedule all surgical procedures in the assigned Department. These duties include, but are not limited to, assisting with communication, registration, building preoperative charts, scheduling surgical procedures, and record-keeping. The Unit Clerk Surgery Scheduler will act as receptionist for the assigned Nursing Department following orientation, to assist and greet patients and visitors, and act as a clerical liaison between patients, visitors, and the clinical team. Requirements

  • High school diploma, or equivalent.
  • Must have at least four (4) years of experience in a health-related or similar setting.
  • Current American Heart Association Heartsaver CPR/First Aid/AED certification.
  • Working knowledge of electronic health records: Meditech, G-Gastro.
  • Must have current experience in an operating room environment.
  • Must be able to successfully pass the Employee Health Program requirements and background investigation.
  • Knowledge of applicable laws, rules, and regulations (The Joint Commission, CMS, Federal, state, tribal regulatory agencies).
  • Maintain current American Heart Association Heartsaver CPR/First Aid/AED certification.
  • Must possess excellent attention to detail.
  • Must be able to communicate professionally and effectively with others.
  • Must be familiar with basic medical terminology.
  • Must possess basic computer skills.
  • Strong organizational skills.
  • Must exhibit a professional appearance and demeanor.
  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds, with co-workers at all levels.

Nice To Haves

  • Ability to speak the Navajo language and/or familiarity with the Navajo way preferred.

Responsibilities

  • Direct patients and visitors to the perioperative waiting area.
  • Demonstrated coordination with OR, PACU, ICU, Radiology, Laboratory, Pharmacy, and ancillary departments.
  • Ensure strict confidentiality of all patient and employee information.
  • Work independently and set priorities appropriately.
  • Be familiar with medical terminology and coding procedures.
  • Always maintain a pleasant demeanor.
  • Operate telephone and relay written and verbal messages to clinical staff.
  • Prepare patient charts in the preoperative scheduling stages, update the surgical chart following registration, prepare the chart for admission and discharge, including request for information from outside facilities if applicable.
  • Order office supplies, special equipment, and medical supplies.
  • Coordinate any special requests for surgery-specific instruments, implants, or medical supplies.
  • Deliver and pick up patient record materials.
  • Assist in preparing transport of patients to other hospital service units.
  • Operate various alarm systems with proper response.
  • Perform first responder, heart saver interventions, if needed.
  • Schedule referral or surgical follow-up appointments for patients, if needed.
  • Update daily surgery schedule as indicated.
  • Review and flag patient charts daily for completeness and to ensure proper Documentation during the presurgical planning phase, if needed.
  • Participate in and attend staff in-services and meetings.
  • Always abide by SMH personnel policies and procedures.
  • Maintain knowledge of regulatory agency standards and regulations, including The Joint Commission, Centers for Medicaid and Medicare Services (CMS), and other tribal, state, or federal regulatory bodies.
  • Check patients in and register them for surgical procedures.
  • Schedule surgery procedures according to department procedure.
  • Answer the phone in a professional and courteous manner.
  • Complete post-op data entry in a timely and accurate manner.
  • Complete monthly statistical reports per established timeline and format.
  • Post surgical charges on a daily basis per established guidelines.
  • Complete daily surgical schedule and distribute as appropriate.
  • Complete departmental filing.
  • Post the daily surgery schedule.
  • Assure appropriate coordination with other hospital departments when special surgical needs occur.
  • Publish an accurate daily call list and forward to the appropriate departments.
  • Perform other duties as assigned and required.
