About The Position

A ward secretary is a non-licensed person who performs clerical, receptionist, and related duties on a nursing division/unit under the direction of a registered nurse and ED physicians. Performs duties which assist with the performance of patient care. Ensures that Emergency Center charges are accurately and appropriately applied to the patient account in an effort to realize maximum reimbursement and ensure compliance with billing procedures and regulations. To accurately scan the appropriate/necessary paperwork into the Meditech system to ensure that the information is available for the continuity of patient care.

Requirements

  • High school graduate or equivalent with ability to read, write and comprehend medical terminology.
  • Age 18 or older.
  • Successful completion of Ward Secretary orientation.
  • CIDE training within 3 months of hire.
  • Must be computer-literate to complete task(s) as required.
  • Able to stand/walk for up to 7.5 hours per shift.
  • Able to bend to reach items on floor, bedside level; and stretch to reach over a bed.
  • Able to lift 20 lbs. intermittently, unassisted.
  • Ability to see clearly and hear normal speaking voices.
  • Able to communicate verbally in person and by telephone with a clear concise speech.
  • Dexterity to write legibly.
  • Have a neat and clean appearance.

Responsibilities

  • Complies with the approved policies, procedures, rules and regulations for the general operation of Alliance Community Hospital and the Nursing Service division.
  • Displays knowledge of Alliance Community Hospital Disaster Plan for Emergency Preparedness (in real and simulated situations). Performs appropriately in crisis and emergency situations.
  • Recognizes and responds to priorities in patient care process.
  • Assists in orientation of new team members.
  • Accurately complete various forms for notification of outside agencies and notify police and health departments as indicated.
  • Maintain the on-call board.
  • Respond to lifeline and T.D.D. calls.
  • Performs clerical duties which may include but are not limited to; ordering supplies, forwarding work orders, prepares admission charts when needed, thins in-house charts, tears down all Emergency Center charts at disposition. Assembles medical and financial charts for use.
  • Maintains compliance with state, federal and regulatory agency standards.
  • Verifies all Emergency Center visits have been departed appropriately.
  • Objectively assigns the Emergency Center facility charge levels.
  • Accurately assigns procedural charges, supply charges, pharmacy medication/IV solutions and tubing charges.
  • Network with medical records coders to clarify procedure charges.
  • Network with patient accounts representative to ensure accuracy and completeness of patient accounts.
  • Responsible for checking emails and on line learning assignments (Relias) on a regular basis.
  • All other duties as assigned.
