About The Position

The Undergraduate Programs Assistant (UPA) works directly with undergraduate students in the academic departments and programs within an Academic Support Unit. The UPA works closely with and assists the academic leadership within the ASU whose service is for the advancement of undergraduate majors or minors from declaration through graduation. This position supports the undergraduate program by performing functions such as assisting students with degree and course planning; processing major/ minor changes; registration overrides; updating course listings; completing degree clearances; and monitoring course waitlists. The UPA works closely with academic leadership within the ASU to schedule classes and classrooms throughout the year, and assist with summer schedules and instructor assignments. The Undergraduate Programs Assistant participates in special projects as needed. This position reports to the Academic Programs Manager.

Requirements

  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
  • An Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
  • Excellent organizational and time management skills, with attention to detail.
  • Experience with and/or commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment.
  • Ability to effectively work independently and as part of a team, providing support where needed.
  • Proficiency with Microsoft Office 365 software, including the ability to learn new software.
  • Ability to understand, explain, and clarify rules, processes, and procedures.
  • Ability to communicate effectively in person, on the phone, and by electronic means.
  • Ability to interact appropriately in difficult situations and conversations.

Nice To Haves

  • Experience in a college or university setting.
  • Experience working with Banner Information System and/or IBM Cognos Integrative Data and Reporting (IDR).
  • Experience with communications and/or social media.
  • Experience planning and/or coordinating special events.
