About The Position

The Undergraduate Studies Coordinator plays a vital role in supporting the academic success of FTT undergraduate students and ensuring the smooth operation of the department’s undergraduate program. Reporting to the Chair and Director of Undergraduate Studies, this role combines student support, academic coordination, event planning, and administrative responsibilities. The Coordinator serves as a key resource for students and faculty, managing academic processes, supporting recruitment and engagement efforts, and maintaining effective communication across departmental and campus partners. This is a 10-month position , typically working August through May , with June and July off. There may be an opportunity to work during June and July 2026 to accommodate onboarding and training.

Requirements

  • 1–2 years of relevant administrative or academic coordination experience
  • Demonstrated excellence in interpersonal and written communication skills
  • Strong clerical, organizational, and business office competencies
  • Proficiency in Microsoft Office applications (Word, Excel) and experience with database and web-based systems (e.g., FileMaker Pro)
  • Ability to work independently, exercise sound judgment, and manage responsibilities with minimal supervision
  • Exceptional organizational skills, with a high level of attention to detail and strong problem-solving abilities

Nice To Haves

  • Experience in a higher education or university setting
  • Familiarity with systems such as Banner, TravelND, BuyND, or comparable platforms
  • Proficiency working in both Mac and PC environments

Responsibilities

  • Assist with undergraduate course scheduling using systems such as CourseLeaf, Banner, the Undergraduate Bulletin, and Summer Session tools
  • Manage course registration processes, including study abroad approvals, grade changes, and override codes
  • Advise prospective and current FTT majors on course selection and major requirements
  • Maintain advisor assignments and student records
  • Prepare visit itineraries and informational materials for prospective students
  • Serve as the primary point of contact for visitors, phone calls, and general inquiries
  • Maintain departmental email lists and coordinate room scheduling
  • Manage office supplies and departmental mailings through BuyND
  • Coordinate undergraduate recruitment events, receptions, guest speakers, and other departmental programs
  • Liaise with campus partners such as the Registrar’s Office, TravelND, Catering, and external vendors
  • Recruit, hire, train, and supervise student office assistants
  • Assign and monitor daily tasks and work schedules
  • Review and approve student timesheets in UltraTime
  • Attend departmental and College of Arts & Letters staff meetings
  • Support special projects and other duties as assigned
