About The Position

The Tribal Administrator Assistant will provide essential administrative support to the Tribal Administrator of the Ely Shoshone Tribe. This role is crucial for the daily operations of the tribe, ensuring effective management and oversight of various administrative tasks and community events.

Requirements

  • High School diploma or equivalent.
  • Knowledge of applicable federal, state, county, and local laws, regulations, and requirements.
  • Understanding of business and personnel management techniques.
  • Proficiency in spelling, grammar, punctuation, and basic arithmetic.
  • Strong skills in administration and office management.
  • Ability to analyze problems, project consequences, identify solutions, and implement recommendations.
  • Excellent verbal and written communication skills.

Nice To Haves

  • Experience in working with tribal governments or organizations.
  • Familiarity with Indian Health Service (I.H.S.) and Bureau of Indian Affairs (BIA) programs.

Responsibilities

  • Assist in the oversight and management of the daily operations of the Ely Shoshone Tribe.
  • Responsible for the asset control of the Tribe, working with the Finance Director to maintain general fixed assets and inventory.
  • Conduct quarterly physical inventory counts of all assets and inventory.
  • Provide accurate inventory listings as requested by auditors.
  • Assist in organizing community tribal events such as Christmas, Halloween, Toys for Tots distribution, and Shoshone Reunion.
  • Prepare the monthly Tribal Council meeting agenda.
  • Organize and maintain the tribe's records, documents, and policies, including I.H.S. and BIA programs.
  • Keep records of all tribe activities, meetings, and administration schedules.
  • Supervise assigned programs and departments as directed by the Tribal Council.
  • Assist in requesting donations for events like Fandango/Powwow and writing funding request letters and proposals.
  • Create yearly budgets for BIA, General Fund, and departments, including budget modifications for overspent line items.
  • Review monthly financial reports for IDC and General Fund accounts to ensure alignment with the budget.
  • Back up Receptionist/Office Assistant duties in their absence.
  • Perform other duties as assigned.
